## Getting started

Your workspace, launch checklist and where to find things.

### Start with the right club and workspace

Open Manage, choose your club, then use its organizer navigation. Website opens the builder; experiences have their own admin page; Marketing holds Audience, Inbox, Campaigns and Follow-ups. Access depends on your club role and plan.

**Where to go:** AroundU → Manage → choose your club

**Guide:** https://aroundu.in/help/start-with-the-right-workspace

#### Before you start

- Sign in with the account that owns the club or has been invited to its team.

#### Steps

1. Open Manage from AroundU's navigation and select the club you want to work on.
2. Check the club name before editing content, reviewing customers or sending messages.
3. Open Website to change your storefront, or open an experience's admin page for its bookings and applications.
4. Open Marketing for customer records, conversations and campaigns. Only the tools allowed by your plan and permissions will be available.
5. Use the Help icon in the organizer workspace whenever you need this playbook.

#### Good to know

- A club, its experiences and its website are connected, but they have different editing screens.
- If your team manages several brands, always confirm the selected club before making a change.

#### Troubleshooting

- If a club is missing, check that you signed in with the invited account. Ask the club owner to verify your membership.
- If a tool is locked, check your plan and your team permissions; signing in as platform staff does not automatically make you a club administrator.

### Your first launch: club, website, experience and customers

Set up your club and team first, publish a real experience, build the storefront around it, check the customer journey, then connect your customer channels and start marketing.

**Where to go:** Manage → your club → Website, experiences and Marketing

**Guide:** https://aroundu.in/help/launch-an-experience-business

#### Before you start

- Club owner or appropriate team permissions.
- A plan that includes the tools you intend to use.
- Accurate event dates, prices, capacity and policies.

#### Steps

1. Create or select your club, complete its public brand details, and invite the team members who need access.
2. Create an experience with the correct schedule, location, ticket options and booking or application flow.
3. Open the website builder, choose your pages and sections, and connect offerings to the experiences you have created.
4. Preview the website on a phone-sized view. Check the menu, buttons, experience details and form destinations.
5. Publish the website and complete domain setup if you have a custom domain.
6. Open the public customer journey in a signed-out browser. Check whether guests can book directly or need to apply and prove their contact ownership.
7. If you will use WhatsApp, complete number and provider setup, prepare approved templates and add the business answers your team will use.
8. Choose a small, relevant campaign or manual follow-up and review its audience, message, costs and results.

#### Good to know

- Make one full customer journey work before adding several workflows.
- A published page is not enough: check the booking or enquiry action behind each button.

#### Troubleshooting

- If a website change is invisible publicly, check draft versus published state.
- If customers cannot pay, check the event's payment flow, payment setup, availability and approval state.

### Where do I find customer enquiries, applications and questions?

Website form enquiries are in Marketing → Audience → Website enquiries. WhatsApp messages are in Marketing → Inbox. Experience and hosted-form applications are in that experience's Submissions. Polar questions and answers belong to the Polar conversation drawer.

**Where to go:** Marketing → Audience / Inbox, or experience admin → Submissions

**Guide:** https://aroundu.in/help/find-customer-enquiries

#### Before you start

- Select the club or experience that received the enquiry.
- Access to the relevant customer or application records.

#### Steps

1. For a storefront Enquiry Form submission, open your club's Marketing workspace, choose Audience, then Website enquiries.
2. For a WhatsApp question, choose Inbox in Marketing, select the connected sender and open the customer's conversation.
3. For an experience application or a hosted Create Form response, open that experience or form's admin page and choose Submissions.
4. For an invitation or preapproval grant, check Pre-approved guests for the experience or Pre-approvals in Audience; a grant is different from an application or a confirmed booking.
5. For something your team asked Polar, open Polar's drawer and its conversation history.
6. If you contacted AroundU support through Help, that request goes to AroundU support rather than your club's customer Inbox.

#### Good to know

- An enquiry is not a confirmed booking. Check its booking or payment state before counting it as an attendee.
- A website form can offer a Continue action to a booking or hosted form. The enquiry and the later booking are separate records.

#### Troubleshooting

- If a record is missing, check the source, selected club, filters and date range.
- A customer using Instagram or another unconnected channel may not appear in WhatsApp Inbox. Check that channel and its connection separately.

### Check your changes before publishing or sending

Check the club, facts, permissions and customer journey before you publish. For a campaign, also check recipients, consent, template parameters, timing and spending limits.

**Where to go:** Website preview, experience admin, or campaign review

**Guide:** https://aroundu.in/help/before-you-publish-or-send

#### Before you start

- Someone on your team who can review the change and its customer impact.

#### Steps

1. Confirm the correct club and experience, then check names, dates, time zones, location, pricing and remaining capacity.
2. For website work, inspect the affected page and menu in desktop and mobile preview.
3. Follow every changed button to its destination and check whether it should open a booking, application, enquiry form, external link or contact channel.
4. For marketing, review the eligible audience, permission to contact them, final message and every template parameter.
5. Check timing, credit balance and budget. An approved template or an AI draft alone does not authorize a customer send.
6. Save or publish using the relevant screen, then check the public page or the campaign's recorded status and results.
7. Record what changed so the next person on your team knows what to check.

#### Good to know

- Use a small permitted audience when trying a new messaging workflow.
- Changes to an experience's schedule do not automatically mean an announcement was sent; plan any customer update separately.

#### Troubleshooting

- If public content looks unchanged, check which version is published and whether you are viewing the correct domain.
- If a send is paused, read its reason and fix the eligibility, inventory, template or budget issue before retrying.

### Ask the playbook for instructions or Polar for business help

Use Help's search for how-to instructions such as changing a website or finding applications. Use Polar inside your organizer workspace for questions about your club's actual customers, events and performance. Actions need the relevant plan, permissions and approval.

**Where to go:** Help → Search or ask a question; organizer workspace → Polar

**Guide:** https://aroundu.in/help/ask-the-playbook-or-polar

#### Before you start

- Help is available without opening customer records.
- For Polar, sign in to the club you manage and have the appropriate plan and access.

#### Steps

1. Type the task in Help, for example 'How do I change my website banner?' or 'Where can I see website enquiries?'.
2. Read the matching playbook answer, then open its full guide for requirements, steps and troubleshooting.
3. If you need actual business figures, open your organizer workspace and ask Polar with the club or experience context.
4. Review any proposed recipients, details and action before approving it. Configured Autopilot follows its saved limits.
5. If Help has no matching guide, use Contact support and describe the screen, action and error. Never include passwords or one-time codes.

#### Good to know

- Help retrieves written instructions; it does not inspect your customers or change your account.
- Use the guide's Share button to send your team the exact instructions.

#### Troubleshooting

- If a question has no matching guide, try the feature name or browse its topic.
- If Polar is unavailable or cannot act, check your plan, monthly allowance and permissions.

### Find out why a feature is missing or access is denied

Confirm the correct account and club, then check its current plan and your team permissions. For messaging, also check the connected sender and provider setup. AroundU staff access and club administrator access are different; a saved domain alone does not prove an active paid plan.

**Where to go:** Manage → your club → Plans & billing / Team / Marketing settings

**Guide:** https://aroundu.in/help/troubleshoot-access-and-missing-tools

#### Before you start

- The account that should have access to the club or internal staff workspace.

#### Steps

1. Check the signed-in account and selected club. If you manage more than one brand, make sure the change belongs to this club.
2. Open the club's plan or Storefront page and inspect the selected plan and actual access status or end date.
3. Ask the club owner to review your team role if Website, Customer records, Inbox, Campaigns or exports are missing.
4. For WhatsApp or Instagram, inspect the connection in Marketing Settings and verify the intended sender or account.
5. For AI actions, check AI Employee access, the shared allowance and whether the relevant automation or reply mode has been explicitly enabled.
6. For custom subscription offers, sign in as the club's organizer or eligible administrator; internal staff status alone does not grant buyer access.
7. For internal admin screens, use your authorized AroundU staff account rather than assuming that a club role grants access.
8. If the screen still fails, use its Retry or refresh control and contact support with the club, screen, action and exact message.

#### Good to know

- A team role may allow viewing customer records but not exports, sends or website changes.
- An AI draft, approved template and active channel are separate requirements; one does not imply the others are ready.
- Check the availability notice when a tool is marked app-only, coming soon or subject to provider access.

#### Troubleshooting

- After payment, verify the activated tier. A custom subscription offer activates the plan displayed on that offer.
- If a staff-role message appears on a customer subscription offer, it can be a generic access message; verify the buyer's club access first.
- If a published website works but editing is locked, check the subscription and team role instead of inferring edit permission from the saved domain.

## Website & domain

Pages, sections, branding, menus, publishing and domains.

### Open the website builder

Open the correct club workspace and choose Website or Website builder. Use Pages, Design, Settings and Publish to work on your site.

**Where to go:** Club workspace → Website

**Guide:** https://aroundu.in/help/website-open-builder

#### Before you start

- Sign in with an owner or authorised team account for this club.
- Your club plan includes website access, and your team role allows website editing.

#### Steps

1. Open the workspace for the club whose website you want to change.
2. Choose Website in the organiser menu, or Website builder in the club sidebar.
3. Use Pages to edit content, Design to change appearance, Settings for domain and reusable lists, and Publish to update what visitors see.
4. Use the back arrow to return to the organiser dashboard.

#### Good to know

- Existing website builder links open the current editor.
- Opening the live domain shows the published website. Use the builder or whole-site preview to see your draft.

#### Troubleshooting

- If Website is missing, ask the owner to check the club plan and your website editing access.
- If website access cannot be verified, choose Try again. If it is locked, review Plans & billing in the club workspace.
- If the page fails to load, choose Back to dashboard and confirm that you are signed into the correct club account.

### Change website text, photos and videos

Choose a page, open Text & images, select the section with the heading you recognise, and replace its content. The draft preview updates while you type.

**Where to go:** Website → Pages → Select page → Text & images

**Guide:** https://aroundu.in/help/website-edit-content

#### Before you start

- Website edit access for the selected club.

#### Steps

1. In Pages, select the page you want to change. You can also switch using Page to edit.
2. Open Text & images.
3. Select a section card by its current heading or text.
4. Edit the words and media in the section editor. Choose Page introduction or Top banner to edit the first area visitors see.
5. Check the live draft on Computer and Phone.
6. Choose Save changes, then publish when the changes are ready for visitors.

#### Good to know

- For experience dates, prices, availability and inclusions, edit the experience itself in Events. Website sections connected to your AroundU experiences use that information.
- Photos and videos sections can show galleries. Photo or video sections are useful for a single video; add multiple sections for a two- or three-video showcase.
- Desktop hero video and Phone hero video are separate fields. You can set a cover image for the video.

#### Troubleshooting

- If your change appears in the builder but not on the live domain, save and publish it.
- If an automatically populated item is wrong, update its source in Events, Team, Reviews or Reusable lists.
- If the wrong page is changing, check the Page to edit dropdown before editing.

### Add a page or use a website starter

In Pages, choose Add another page and select a starting layout. A website starter offers prepared pages that you can customise.

**Where to go:** Website → Pages → Add another page

**Guide:** https://aroundu.in/help/website-add-pages

#### Before you start

- Website edit access for the selected club.

#### Steps

1. Open Pages.
2. Under Add another page, choose the kind of page you need and select Add this page.
3. Replace the example text, images and buttons in Text & images.
4. Open Page details and give the page a clear name and short address.
5. Check the website menu, preview, save and publish.

#### Good to know

- A starter provides pages and editable example content. A theme changes colours, fonts and layout.
- Preview a starter with your real business name, photos and experiences before applying it.
- Using a starter as a complete starting point replaces the current page structure in the unsaved draft after confirmation.
- The /passes page displays live package cards beneath its editable content. Manage the packages themselves in Membership passes.

#### Troubleshooting

- If the address is already used or reserved, choose another short address.
- The home page, required policy pages and passes address have fixed paths.
- Nothing becomes public just because you add a page to the draft; save and publish when ready.

### Set a page address, visibility and Google details

Page details controls the page name and address, who can see it, and optional Google and social sharing information.

**Where to go:** Website → Pages → Select page → Page details

**Guide:** https://aroundu.in/help/website-page-details

#### Before you start

- Website edit access for the selected club.

#### Steps

1. Choose the page and open Page details.
2. Set Page name and Page address. Use a short lower-case path such as /about or /summer-packages.
3. Under Who can see this page?, choose Everyone, Only people with the link or No visitors yet.
4. Expand How this page appears on Google to edit Google result title, Short Google description, Social sharing image and Search indexing.
5. On the home page, add Google Search Console verification if you use it.
6. Save, preview and publish.

#### Good to know

- Public pages can be added to your menu. Unlisted and private pages are removed from the automatic public-page menu.
- The home page and required legal pages cannot be deleted through the normal page deletion control.
- The Google title has a 70-character input limit and description has a 180-character limit.
- Use Membership passes to manage paid packages. Page visibility controls which pages visitors can find.

#### Troubleshooting

- If saving reports an invalid path, use only the accepted lower-case path characters and choose a unique address.
- Required policy pages remain public with fixed addresses.
- Publishing SEO details does not guarantee immediate search indexing.

### Add, hide, move or remove a website section

In Text & images, choose Add a section. Select a section to edit it, drag or move its card to reorder it, and use Section settings to hide it or change its look.

**Where to go:** Website → Pages → Select page → Text & images

**Guide:** https://aroundu.in/help/website-sections

#### Before you start

- Website edit access for the selected club.

#### Steps

1. Open the page in Text & images.
2. Choose Add a section and select text, photos, Common questions, Customer reviews, Enquiry form, Download, Schedule or another available type.
3. Edit the new section's words and images.
4. Drag the section card or use its up/down controls to change order.
5. Open Section settings to choose a look, show or hide the section, and select its information source where supported.
6. Use Remove this section to delete an ordinary section, then save and publish.

#### Good to know

- The page introduction stays at the top. Its pinned controls prevent moving or deleting it.
- Changing a section look preserves its text and images.
- Depending on the section, you can enter content yourself or use your AroundU experiences, team, reviews, leaderboard or a saved list.

#### Troubleshooting

- If a saved-list section will not save, choose its list under Choose your saved list.
- If a section has no visible content, check Show this section on the page and its information source.
- A second Page introduction may be disabled because the page already has one.

### Change the website theme, colours and typography

Use Design to choose a theme, then customise the palette. Advanced style settings controls fonts, shapes, header, footer, animations and other appearance options.

**Where to go:** Website → Design

**Guide:** https://aroundu.in/help/website-design

#### Before you start

- Website edit access for the selected club.

#### Steps

1. Open Design.
2. Choose Theme first to set the starting fonts, shapes, layout style and colours.
3. Use the colour picker or code box under Make the colours yours.
4. If you want one background across all sections, choose Use this background everywhere.
5. Expand Advanced style settings for typography, button and card styles, layout width, header, footer and motion.
6. Check Computer and Phone, save and publish.

#### Good to know

- Changing a theme preserves your pages and content.
- Use this background everywhere clears special Light, Dark, Brand and Image section backgrounds, while retaining the actual content and images.
- Reduced motion in the preview helps you inspect the accessible animation experience.

#### Troubleshooting

- If only some sections change background, they may have individual background settings; use the global background action if appropriate.
- Choose the theme before the final palette so a later theme change does not reset your starting colours.
- If a colour code is rejected, use a valid six-digit hex colour such as #EC4B5D.

### Change website menu links and the main header button

Pages lets you rename and reorder menu links. The Header button editor controls the button beside More; select Open a link for a WhatsApp or community URL.

**Where to go:** Website → Pages → Website menu; Website → Design → Header button

**Guide:** https://aroundu.in/help/website-menu-buttons

#### Before you start

- Website edit access for the selected club.

#### Steps

1. Open Pages and find the website menu links.
2. Change each menu label and use up/down to reorder it.
3. Choose Add missing public pages, or use Update website menu in Design, to include public pages that are missing.
4. Open Header button in Pages or Design.
5. Turn on Show header button, choose the action and label, and use Open a link with the full URL when linking to WhatsApp or a community.
6. Save, preview the menu and button, and publish.

#### Good to know

- More opens the website page menu automatically.
- Follow club is a separate sign-in action. It does not open your community or WhatsApp URL.
- Changing a page path updates its matching menu link. Private/unlisted pages are removed from the public page menu.

#### Troubleshooting

- If the button follows the club instead of opening WhatsApp, choose Open a link and enter the WhatsApp URL.
- If a public page is missing from the menu, use Add missing public pages.
- If live navigation is unchanged, publish the saved draft.

### Save changes and preview the whole website

Save changes stores your draft. Preview whole site saves any unsaved edits first and opens the saved draft. Neither action publishes your changes to visitors.

**Where to go:** Website → Save changes / Preview whole site

**Guide:** https://aroundu.in/help/website-save-preview

#### Before you start

- Website edit access for the selected club.

#### Steps

1. Make your edits and check the Changes not saved indicator.
2. Choose Save changes to store the draft.
3. Choose Preview whole site to inspect page links together; if there are unsaved edits, AroundU saves them before opening the preview.
4. Use Computer and Phone controls inside the builder to inspect both layouts.
5. Check page links, button destinations, media and enquiry text.
6. Return to the builder and publish when ready.

#### Good to know

- Preview whole site lets you navigate the saved pages together and check their links.
- The live draft inside Text & images includes unsaved edits.
- Visitor forms run in preview mode and do not send enquiries from the preview.
- There is a separate Publish step. Save does not update the live domain.

#### Troubleshooting

- If saving fails, the whole-site preview will not open; resolve the save error first.
- If a preview page is missing, confirm it exists in the saved draft and return to Preview home page or Edit website.
- To undo unsaved edits, choose Undo all changes since the last save and read the confirmation. To recover a published website, use Previous published versions in Publish.

### Publish the website and restore an older version

Publishing makes your saved draft visible to visitors. Publish now shows the credit cost and asks for confirmation. If scheduled publishing is available, you can choose the next publishing time.

**Where to go:** Website → Publish

**Guide:** https://aroundu.in/help/website-publish

#### Before you start

- Website edit access and a valid draft.
- Immediate publishing requires the available balance shown in the publishing quote.

#### Steps

1. Open Publish and fix any page-detail or saved-list issues shown.
2. Use Preview whole site to check the final website.
3. Choose Publish now to save the current draft and review its credit quote.
4. Check Publishing cost and Your available balance, then choose Yes, publish website to proceed.
5. If available, choose Publish at the next scheduled time and note the time shown by AroundU.
6. Check Previous published versions for publication status.
7. If Bring this version back is shown for an older website version, choose it, review the draft and publish again.

#### Good to know

- Publish now has a quote and a separate final confirmation.
- Scheduled publishing also saves the current draft first.
- Restoring a published version prepares a draft; it does not immediately change the live site.
- Check the cost and scheduled time shown in your own account before confirming.

#### Troubleshooting

- If Publish now is disabled, fix the reported validation issues or check the quote for insufficient credits.
- If publishing shows Could not publish, contact support with your club name and the publication status before retrying.
- If changes are not visible, check Previous published versions. The latest change should show Published successfully; Scheduled or Publishing now means it is still waiting.

### Connect your custom website domain

In Settings → Domain & brand, save your domain, add the displayed DNS records and choose Check connection. The Connected status means the secure website connection is ready.

**Where to go:** Website → Settings → Domain & brand

**Guide:** https://aroundu.in/help/website-custom-domain

#### Before you start

- Website access for this club.
- Access to the domain's DNS settings at your registrar or DNS provider.

#### Steps

1. Open Settings, then Domain & brand.
2. Enter Website domain, such as yourbrand.com or events.yourbrand.com.
3. Use the DNS table shown for that exact domain. A root domain uses both the @ A record and www CNAME; a subdomain uses its CNAME record.
4. Choose Save domain & brand.
5. Add the displayed DNS records with the exact Host / Name and Value at your DNS provider.
6. Return and choose Check connection.
7. When the status is Connected and SSL is ready, choose Open website. Publish the website draft if you have not already done so.

#### Good to know

- Enter the domain without https:// or a page path; the field cleans pasted URLs.
- Copy the exact DNS Host / Name and Value displayed for your domain in the builder.
- Saving a new domain starts its connection process; it does not replace the website publication step.

#### Troubleshooting

- Waiting for DNS means the records are not verified yet; check the names and values and allow propagation.
- Securing means DNS is connected and SSL is being prepared.
- Needs attention means check the displayed DNS instructions and try Check connection again.
- If you changed an existing domain, save the new domain before checking its connection.

### Set the website logo, browser icon and brand colour

Settings → Domain & brand sets your logo, browser icon and primary colour across the site. Save these changes and publish the draft when you are ready.

**Where to go:** Website → Settings → Domain & brand → Logo & browser icon

**Guide:** https://aroundu.in/help/website-brand

#### Before you start

- Website edit access for the selected club.
- Logo or icon file or a complete public http/https image link.

#### Steps

1. Open Settings → Domain & brand.
2. Set Logo image and Browser icon using the media fields.
3. Set Primary brand colour with the picker or valid six-digit colour code.
4. Choose Save domain & brand.
5. Preview the header, footer and browser branding.
6. Publish the website draft.

#### Good to know

- A transparent SVG or PNG works well for the logo. Use a square PNG, ICO or SVG for the browser icon.
- The logo is used across the header and footer; the browser icon is site-wide.
- After saving your brand settings, publish the website draft to update what visitors see.

#### Troubleshooting

- If Save domain & brand is unavailable, wait for media uploads or correct invalid domain, image URL or colour values.
- If an image link is rejected, use a complete http:// or https:// image URL.
- If the live branding is unchanged, publish your website draft.

### Add an enquiry form and link it to a booking journey

Add an Enquiry form section to collect visitor questions and answers. Responses appear in Website enquiries. You can also offer a link to an existing experience, form or reservation after submission.

**Where to go:** Website → Pages → Select page → Text & images → Add a section → Enquiry form

**Guide:** https://aroundu.in/help/website-forms

#### Before you start

- Website edit access for the selected club.
- Create the related experience, form or reservation first if you want visitors to continue to it.

#### Steps

1. Open the page, choose Text & images, then Add a section → Enquiry form.
2. Set Form name, Section title, Short introduction, Main button text and Thank-you message.
3. Use Add question to collect the information you need. Choose short/long answer, email, phone, number, date, dropdown or agreement checkbox.
4. Set whether each ordinary question is required and use the up/down controls to arrange questions.
5. Under After someone sends this form, choose Save it as an enquiry only or select an existing experience, form or reservation. The selector may label an experience as Plan.
6. Set Extra action button text if you are offering a link after submission.
7. Preview, save and publish. Review actual live responses under Audience → Website enquiries.

#### Good to know

- Email and phone stay required so you can follow up on enquiries.
- A dropdown takes one choice per line.
- The extra action button appears after a successful enquiry. The visitor must still open it and complete the experience application, booking, approval or payment journey.
- The preview intentionally does not submit responses. Live forms require the background security check to finish.

#### Troubleshooting

- If the visitor cannot submit, check required fields and the background security check.
- If an enquiry appears but there is no booking, the visitor may still need to follow the extra action button and complete the booking journey.
- If the experience is missing from the selector, check that it belongs to this club and is available in AroundU.

### Create reusable packages, directories or certificate lists

If Reusable lists is available in Settings, use it to manage entries you can show on a website section. Choose the public columns, allow the list on your website and connect it to a section.

**Where to go:** Website → Settings → Reusable lists

**Guide:** https://aroundu.in/help/website-reusable-lists

#### Before you start

- Website edit access for the selected club.
- Only columns intended for visitors should be marked Show to visitors.
- Reusable lists is available in your website Settings.

#### Steps

1. Open Settings → Reusable lists.
2. Choose a ready-made list such as Directory, Certified members, Leaderboard, Projects or Packages.
3. Set List name and columns, then choose which columns may be shown to visitors.
4. Turn on Allow this list on your website and choose Save list setup.
5. Add an entry or choose Import spreadsheet with a CSV whose first row uses the shown column names.
6. Open the page and add Directory or list, Information list, or a cards section that supports a saved list.
7. In Section settings, choose A saved list I created and then Choose your saved list.
8. Preview, save and publish the website page.

#### Good to know

- Reusable Packages is a way to display descriptions and starting prices. Manage sellable membership packages in Membership passes.
- Check which columns are public before allowing the list on your website. Keep private customer details out of public columns.
- A list needs at least one public non-sensitive column before being allowed on the website.
- Once a list has entries, some column settings are protected so your existing information remains connected.
- Changes to entries in a list already used on your live website appear immediately. The page layout still follows its save-and-publish flow.

#### Troubleshooting

- If the section says choose a saved list before saving, set the source and list.
- If the list is hidden on the live site, check Allow this list on your website, public columns and the page's published configuration.
- If CSV import skips entries, check the import result and whether its headers and values match the list columns.

### Use AI to improve a website page and review its changes

If Help me improve is available, it proposes wording and presentation changes for the selected page. Review the proposal and apply it to the draft, then save and publish when ready.

**Where to go:** Website → Pages → Select page → Help me improve

**Guide:** https://aroundu.in/help/website-ai-polish

#### Before you start

- Website edit access for the club, with Help me improve available in the builder.

#### Steps

1. Select the page you want to improve.
2. Choose Help me improve.
3. Describe the improvement under What should feel better? or choose one of the example suggestions.
4. Choose Preview AI polish and review the proposed changes and summary.
5. Choose Apply to draft if the proposal is suitable.
6. Inspect the result and use Undo if needed.
7. Save changes, preview the website and publish when ready.

#### Good to know

- AI polish proposes changes to the selected page's wording and supported presentation settings.
- To change sections, page addresses, visibility, media, forms, links or booking buttons, use the normal editor.
- Applying the suggestion changes the unsaved draft, so it does not immediately publish.
- If shown in Publish, Optional page check helps you review content, accessibility and search details.

#### Troubleshooting

- If the page changed after a proposal was generated, generate a fresh preview so newer edits are preserved.
- If you need to change media, form fields or a booking action, use the ordinary section editor.
- If the service is unavailable, your existing draft remains editable manually.

### Replace a website banner photo or video and make its text readable

Open the page's Page introduction or Top banner in Text & images. Change Title and Subtitle, choose Image or Video, then replace the media. Use the placement and darkening controls to keep the words readable.

**Where to go:** Website → Pages → Select page → Text & images → Page introduction

**Guide:** https://aroundu.in/help/website-banner-media

#### Before you start

- Website edit access for the correct club.
- An image, MP4/WebM video or complete public media link for the banner.

#### Steps

1. Open the page and select its Page introduction section; the editor calls it Top banner.
2. Change Title and Subtitle.
3. Under How should this introduction look?, choose Big photo with text on top, Photo beside the text, Bold promotional poster, Magazine-style introduction or Simple, text-first introduction.
4. Under Use an image or video, choose Image or Video. Use Upload or Replace on Hero image, or set Desktop hero video and a Video cover image.
5. For video, optionally set Phone hero video; check the Phone preview.
6. Use Make the photo darker when text sits over the image. To keep the media clear, set Text and button placement to Image or video first, text below.
7. In More appearance options, adjust Introduction height and Heading size if needed.
8. Choose Save changes, inspect the whole-site preview and publish.

#### Good to know

- Banner videos are muted and looping. A phone can use its own video; reduced-motion visitors receive a cover image.
- If a finished Motion Background is selected, choose Use my original image or video to return to the ordinary upload fields.
- Changing Title changes the visible banner words. Page name and Google result title are separate settings.

#### Troubleshooting

- The photo upload controls are missing: check whether a Motion Background is selected, then choose Use my original image or video.
- The words are difficult to read: increase Make the photo darker or choose text below the media.
- The video is not moving for everyone: check Reduced motion in the preview and provide a useful Video cover image.
- The live banner is unchanged: save and publish the draft, then open the live website.

### Make the main website button open WhatsApp, call, email or scroll to a form

Edit Main button on the banner or Header button in Design. Choose Action, set Button label and fill the destination. For a WhatsApp group, use Open a link with its full invitation URL.

**Where to go:** Website → Pages → Page introduction → Main button; Website → Design → Header button

**Guide:** https://aroundu.in/help/website-main-button-actions

#### Before you start

- Website edit access for the correct club.
- The destination URL, phone number, email address or existing visible section.

#### Steps

1. For the banner, open Text & images → Page introduction → Main button. For the top navigation button, open Design → Header button and enable Show header button.
2. Choose Action.
3. For a website or WhatsApp group, choose Open a link (website or WhatsApp) and paste the complete destination in URL.
4. For calling or email, choose Phone or Email and fill Phone number or Email address.
5. To jump to a form on the page, choose Scroll to section and select it under Where should the button scroll?.
6. Set Button label to describe the destination.
7. Preview the whole site, check the destination, then save and publish.

#### Good to know

- Join on AroundU adds a visitor as a follower after sign-in; use Open a link to open an external community.
- Book first offering opens the club's first upcoming experience. Use a Booking prompt when you need to select a specific experience.
- Section-scroll links keep working after you move sections around.
- The menu named More is separate from the header button.

#### Troubleshooting

- The button follows the club instead of opening WhatsApp: select Open a link and use the group or direct-chat URL.
- A scroll target is missing: add the section to this page and check that it is visible.
- The specific experience selector is empty on the banner/header: add a Booking prompt section, which offers the experience picker.
- The header button is missing: check Show header and Show header button, then publish.

### Edit the website footer logo, closing text and contact or policy links

Open Design → Advanced style settings → Footer. Set the logo and closing text, choose Classic or Grouped, and use Add footer link for real destinations. Save and publish the website.

**Where to go:** Website → Design → Advanced style settings → Footer

**Guide:** https://aroundu.in/help/website-footer-details

#### Before you start

- Website edit access for the correct club.
- A real destination for every footer link.

#### Steps

1. Open Design → Advanced style settings and find Footer.
2. Enable Show footer.
3. Choose Footer layout: Classic keeps links together; Grouped separates page links, contact links and policies.
4. Set Footer logo, or leave it blank to use the header logo. Choose Footer logo layout: Icon beside business name or Wide wordmark.
5. Edit the business-name field and short closing statement.
6. Choose Add footer link, enter Link name and its address, and remove obsolete links with the remove control.
7. Use a complete web URL, a phone link beginning with tel:, or an email link beginning with mailto: as appropriate.
8. Preview on Computer and Phone, save and publish.

#### Good to know

- Use Domain & brand when you want to change the main site logo and browser icon everywhere.
- For WhatsApp, use an actual direct-chat or community invitation link.
- Required policy pages have fixed addresses. Edit the policy page in Pages when you need to update its content.

#### Troubleshooting

- No footer appears: enable Show footer and publish.
- The footer logo repeats or has the wrong shape: check Footer logo layout and use a tightly cropped wordmark for Wide wordmark.
- The wrong logo appears: check Footer logo; an empty field falls back to the header logo.
- A policy link is broken: open Page details for that policy and confirm that you use its fixed address.

### Add Instagram, WhatsApp, map, brochure or booking links to a website page

Add a Useful links section, then use Add link to set the label, destination, icon and optional description. Use Section settings → Choose a look for the section's grid, list or stacked presentation.

**Where to go:** Website → Pages → Text & images → Add a section → Useful links

**Guide:** https://aroundu.in/help/website-social-resource-links

#### Before you start

- Website edit access for the correct club.
- The real profile, map, document or booking URL you want visitors to open.

#### Steps

1. Open the page and add Useful links, or select an existing links section.
2. Set Heading and Short introduction.
3. Open Section settings → Choose a look and choose the offered grid, list or stacked presentation.
4. Choose Add link.
5. Enter its label and destination, select the matching icon and optionally add a Description.
6. Use the up/down controls to reorder links or Remove link to delete one.
7. For Email enter the email address; for Phone enter the number. For WhatsApp use the number for a direct chat, or the full invitation URL for a group/community.
8. Check the links in the whole-site preview, save and publish.

#### Good to know

- Choosing a calendar/booking icon adds a link to that service; it does not install its embedded widget.
- External web destinations normally open in a new tab.
- A Useful links section is separate from the main header button and footer links.

#### Troubleshooting

- A link opens the wrong destination: check its address and icon; a WhatsApp number creates a direct-chat destination.
- A map or brochure does not open: use its complete public URL rather than a local computer file.
- The labels are blank: enter a useful label for each card or button.
- If the content editor's Layout selector does not change the preview, use Section settings → Choose a look.

### Put the contact form in the header, footer or its own section

Select Contact details and use Design & placement to choose Standalone form section, Header button + popup form or Form inside footer. The contact form collects email, phone and comments; responses appear in Website enquiries.

**Where to go:** Website → Pages → Text & images → Contact details

**Guide:** https://aroundu.in/help/website-contact-placement

#### Before you start

- Website edit access for the correct club.
- Show header must be enabled for header placement; Show footer must be enabled for footer placement.

#### Steps

1. Open the page, then select Contact details or add that section.
2. Under Design & placement, choose the placement you need.
3. Edit Heading, Subheading and Submit button label.
4. Expand the section's Advanced controls to customise Popup title/subtitle, field labels/placeholders, Success title and Success message.
5. If using the header or footer, open Design → Advanced style settings and ensure Show header or Show footer is enabled.
6. Check Computer and Phone, save and publish.
7. Find incoming messages under Audience → Website enquiries.

#### Good to know

- Use Enquiry form when you need your own questions beyond email, phone and comments.
- The preview checks appearance but does not create a live enquiry.
- Keep the success message clear about when and how your club will reply.

#### Troubleshooting

- The header contact button is missing: enable Show header and confirm Header button + popup form is selected.
- The footer contact form is missing: enable Show footer and choose Form inside footer.
- The live Send button is disabled: wait for the background security check and correct required contact fields.
- The message does not appear in enquiries: confirm this was submitted on the published site, select the correct club and Refresh Website enquiries.

### Upload, reorder and lay out website gallery photos

Open Photos and videos and use Gallery media to upload or reuse images. Drag image cards or use their left/right controls to set the order, then choose the gallery layout and preview it.

**Where to go:** Website → Pages → Text & images → Photos and videos → Gallery media

**Guide:** https://aroundu.in/help/website-gallery-order

#### Before you start

- Website edit access for the correct club.
- Image files or complete public image URLs.

#### Steps

1. Select Photos and videos on the page, or add it. The editor calls it Photo gallery.
2. Set Heading.
3. Under Gallery media, choose Upload gallery images, paste a link and choose Add, or expand Reuse existing media.
4. Drag an image by its reorder handle or use its left/right controls. Remove an image with its remove control.
5. Open Section settings → Choose a look and choose Even photo grid, Mixed-size photo grid or Swipeable slider. In the section's Advanced controls, check Columns for a grid and Max images for the visible count.
6. Set Open images in lightbox if visitors should open larger images. Carousel can optionally use Auto-scroll.
7. Preview on Phone and Computer, save and publish.

#### Good to know

- The selected image order is the public gallery order, subject to the visible count.
- Gallery uploads handle images. For an uploaded or YouTube/Vimeo video, use a separate Photo or video section.
- Reduced-motion visitors do not receive automatic carousel movement.

#### Troubleshooting

- Some images are missing: check Max images and confirm the uploads completed.
- The banner photo does not repeat in the gallery: the gallery normally omits the image already used by the banner; choose a different gallery photo.
- The gallery is empty after removing images: verify whether the section is showing selected images or falling back to club photos.
- A video cannot be uploaded here: use Photo or video rather than the gallery uploader.
- If the content editor's Layout selector does not change the preview, set Choose a look under Section settings.

### Add website testimonials or show AroundU reviews

Add Customer reviews, choose the information source in Section settings, then enter real quotes with attribution or select My AroundU reviews. Each manual testimonial needs both a quote and a name to appear.

**Where to go:** Website → Pages → Text & images → Customer reviews

**Guide:** https://aroundu.in/help/website-testimonials

#### Before you start

- Website edit access for the correct club.
- The quote and attribution you intend to publish, or club reviews already recorded in AroundU.

#### Steps

1. Add Customer reviews, or select the existing section. The editor calls it Testimonials.
2. Open Section settings → Where should the information come from?. Choose I will enter it here for your own quotes, or My AroundU reviews for recorded club reviews.
3. For your own quotes, set Heading and choose Add testimonial.
4. Fill What did they say? and Name or attribution. Choose Rating (optional), or leave No star rating.
5. Use the up/down controls to reorder manual testimonials or Remove testimonial to delete one.
6. Under Choose a look, try Cards, Quote cards or Swipeable slider.
7. Preview, save and publish.

#### Good to know

- Choosing My AroundU reviews makes the section use recorded reviews rather than the quotes entered in this editor.
- A manual testimonial with no quote or attribution is omitted from the public site.
- Website testimonials and trusted answers for AI replies are configured separately.

#### Troubleshooting

- Your typed quote is not visible: check that the source is I will enter it here.
- The whole section is missing: add a complete quote and attribution, or confirm there are eligible recorded reviews.
- A star rating appears incorrectly: correct Rating (optional) for the manual quote; existing AroundU reviews use their recorded rating.

### Add public website questions and answers

Add Common questions and fill Questions and answers. Use Add question, write both Question and Answer, then reorder and publish. Only complete question-and-answer pairs appear publicly.

**Where to go:** Website → Pages → Text & images → Common questions

**Guide:** https://aroundu.in/help/website-public-faq

#### Before you start

- Website edit access for the correct club.
- Accurate answers that match the club's current experience and policies.

#### Steps

1. Add Common questions or select the existing section. The editor calls it Frequently asked questions.
2. Set Heading.
3. Under Questions and answers, choose Add question.
4. Fill Question and Answer for each entry.
5. Use the up/down controls to reorder entries; use Remove question for obsolete information.
6. In Section settings, choose the available question layout, such as Open-and-close questions or Two columns.
7. Preview, save and publish.

#### Good to know

- Incomplete pairs are omitted from the website.
- Keep booking, cancellation, venue, accessibility and schedule answers consistent with the actual experience.
- Publishing a website FAQ does not configure AI replies. Use the separate customer reply setup to add and test trusted AI answers.

#### Troubleshooting

- An answer is missing: fill both Question and Answer and check section visibility.
- The live FAQ still contains old wording: save and publish the website draft.
- AI still gives the old answer: review its trusted answers in AI customer reply settings as a separate task.

### Add team photos, roles and introductions to your website

If the team editor is available, add Our team and use Add team member to enter Name, Role, Short introduction and Team member photo. Saved-list sections take their displayed people from the connected list.

**Where to go:** Website → Pages → Text & images → Our team

**Guide:** https://aroundu.in/help/website-team-profiles

#### Before you start

- Website edit access for the correct club.
- The public names, roles, introductions and photos you want to display.
- The Add team member controls must be available in your builder.

#### Steps

1. Open the page and add Our team, or select the existing team section.
2. Set Section title and Short introduction.
3. Choose Add team member.
4. Enter Name, Role and Short introduction for the person, then upload or choose Team member photo.
5. Repeat for the other people you want displayed. Use Remove team member to remove a public profile.
6. Open Section settings to choose Cards, Portrait cards or Compact. Check the selected information source; if it uses a saved list, update that list for the displayed people.
7. Preview, save and publish.

#### Good to know

- Public team profiles do not invite people to the club's workspace or change their access. Manage permissions in the separate Team page.
- A Hosts section can show club administrators when My AroundU team is its selected source.
- Use a curated public list or explicit profiles for the people you want visitors to see.

#### Troubleshooting

- Manual profiles do not appear: check whether a saved list is selected as the information source; that list supplies the displayed profiles.
- Only initials appear: upload a usable Team member photo or check its image link.
- The profile controls are not offered: use the supported saved-list route or contact support about the builder version.
- A person should lose workspace access: removing their website card is separate from revoking access in Team.

### Show the right experiences and visitor filters on your website

Edit Experiences or packages and choose Offering type, Content and Show. Visitor filter chips can use cities, tags, categories, formats or a saved plan-detail question from the experiences actually displayed.

**Where to go:** Website → Pages → Text & images → Experiences or packages

**Guide:** https://aroundu.in/help/website-experience-cards

#### Before you start

- Website edit access for the correct club.
- Published experiences, forms or reservations belonging to this club.

#### Steps

1. Select Experiences or packages, or add it to the page. The editor calls it Plans and experiences.
2. Set Upcoming plans heading, Section intro and When nothing is scheduled.
3. Choose Offering type: All offerings, One-off events, All classes and services, Recurring classes only, Appointments only or Reservations only.
4. Choose Content: Plans, forms and reservations, Plans only or Forms and reservations only.
5. Choose Show: Upcoming only, Past only or Upcoming + Past.
6. Set Card CTA label and Visitor filter chips. For A plan-detail question, choose or type its exact question name, then set Filter label and All-events chip if useful.
7. Use Section settings → Choose a look for Cards, List or Featured item. In Advanced, adjust Image aspect ratio, card hover and visible date/location/member details.
8. Preview the visible items on Phone and Computer, save and publish.

#### Good to know

- Filter choices come from the experiences currently shown, rather than a fixed list typed into the website.
- Changing a card label does not change its ticket price, dates or inclusions. Edit the experience itself in Events.
- Visibility controls on the experience decide whether it can appear on your website; check them separately from the website section.

#### Troubleshooting

- An experience is missing: confirm the club, publication and website visibility, then check Offering type, Content and Show.
- No filter chips appear: confirm that the displayed experiences contain values for the selected filter.
- A plan-detail filter is empty: use the exact saved question name and ensure the experiences have answers.
- The page shows an empty message: correct the filters or publish an eligible experience, and customise When nothing is scheduled.
- If the content editor's Layout selector does not change the preview, use Section settings → Choose a look.

### Add a website booking button for one experience or your next event

Add Booking prompt and choose Open offering checkout to select a specific experience, form or reservation. Book first offering uses the first upcoming experience; the banner can also show Next public event and tickets beneath its media.

**Where to go:** Website → Pages → Text & images → Add a section → Booking prompt

**Guide:** https://aroundu.in/help/website-booking-prompt

#### Before you start

- Website edit access for the correct club.
- The experience, form or reservation must already belong to this club.

#### Steps

1. Open the page and add Booking prompt.
2. Set Heading.
3. Under Action, choose Open offering checkout and select the item under Plan, form or reservation. An experience may be labelled Plan in the selector.
4. Set Button label. Alternatively choose Book first offering to use the first upcoming experience, or Join waitlist for an applicable item.
5. Expand Advanced to add Subheading, and use Section settings → Choose a look for a banner, card or simple style.
6. If you want the next public event under the top media instead, edit Page introduction → Text and button placement → Image or video first, text below → Content below the media → Next public event and tickets.
7. Preview the destination, save and publish.

#### Good to know

- The button opens the experience's booking page. Its own application, sign-in, availability and payment rules still apply.
- The available booking controls are AroundU sections and links. An external calendar link opens that service; it does not create an embedded booking widget.
- For a button that jumps to a website enquiry form, use Scroll to section instead.
- The next-public-event banner uses the club's event title, date, location and ticket link; it falls back to your own heading when no suitable event is listed.

#### Troubleshooting

- The item selector is empty: create or publish the experience for this club, or use a real external booking link through Open a link.
- Book first offering reports no upcoming offerings: choose a specific available item or publish an upcoming experience.
- A button label changes but checkout is still request-only: adjust the experience's approval rules, not the website wording.
- Pasted widget markup does not work in Text section: use Booking prompt, Experiences or packages or an external link.

### Change website enquiry questions, dropdown choices and required fields

Select Enquiry form and use Questions to add or edit each field. Choose Answer type, Placeholder and This question is required; dropdown choices go one per line. Email and phone remain required.

**Where to go:** Website → Pages → Text & images → Enquiry form → Questions

**Guide:** https://aroundu.in/help/website-enquiry-question-fields

#### Before you start

- Website edit access for the correct club.
- Use Enquiry form for custom questions; Contact details collects the fixed contact fields.

#### Steps

1. Select the Enquiry form section on the right page.
2. In Questions, choose Add question or edit an existing Question.
3. Set Answer type: Short answer, Long answer, Email address, Phone number, Number, Date, Choice / dropdown or Agreement checkbox.
4. Optionally add a Placeholder.
5. For a dropdown, enter Choices — one per line and remove choices you no longer offer.
6. Use This question is required to make an ordinary field mandatory. Use the up/down, duplicate or delete controls to arrange ordinary questions.
7. Check the form on Phone and Computer, save and publish.
8. Find submitted answers in Audience → Website enquiries and search by question or answer when needed.

#### Good to know

- Protected email/phone fields cannot be removed, duplicated or made optional through these controls.
- Duplicate gives the new question a separate field; edit its wording before publishing.
- Registration questions for an actual experience are edited through that experience's Edit Form, a separate page.
- Keep question labels distinct so visitors and your team can identify the answers.

#### Troubleshooting

- The delete or required toggle is disabled: the field may be a protected contact question.
- A dropdown has no choices: enter at least one non-empty choice.
- The form appears to have only email, phone and comments: you may be editing Contact details rather than Enquiry form.
- The submitted response is absent: check the published site rather than preview, the correct club and Refresh Website enquiries.

### Change the enquiry thank-you message and next booking action

Edit Thank-you message and After someone sends this form in Enquiry form. Select Save it as an enquiry only or an existing experience/form/reservation, then customise Extra action button text. Submission saves an enquiry; the visitor must still complete any booking journey.

**Where to go:** Website → Pages → Text & images → Enquiry form → After someone sends this form

**Guide:** https://aroundu.in/help/website-enquiry-next-step

#### Before you start

- Website edit access for the correct club.
- An existing experience, form or reservation in this club if you want to offer the next action.

#### Steps

1. Open the Enquiry form section.
2. Set Main button text for the submit button and Thank-you message for the message after a successful response.
3. Under After someone sends this form, choose Save it as an enquiry only if follow-up will happen manually.
4. To offer a booking or application next step, select the existing experience, form or reservation; a normal experience may be labelled Plan.
5. Set Extra action button text so the visitor knows what to do next.
6. Check the configured text in preview, save and publish.
7. Read real responses in Audience → Website enquiries. Check the selected experience's own records for actual applications or bookings.

#### Good to know

- The next action is a link shown after submission, not a guaranteed redirect or completed booking.
- Approval, payment and ticket availability are still controlled by the chosen experience.
- For the Contact details form, use Success title and Success message in its Advanced controls; its settings are separate.

#### Troubleshooting

- An enquiry arrived but no booking exists: the visitor may not have opened the next action or finished the booking.
- The wrong destination opens: choose the correct item in After someone sends this form and publish.
- There is no continuation button: select an existing item rather than Save it as an enquiry only.
- The customer sees old wording: publish the changed draft before checking the live form.

### Fix website text, images or sections that look wrong on a phone

Use the Phone preview to find the affected section. Adjust banner placement and heading size, image framing, section spacing and Device visibility where offered, then save and publish after checking the whole site.

**Where to go:** Website → Pages → See the page → Phone

**Guide:** https://aroundu.in/help/website-mobile-readability

#### Before you start

- Website edit access for the correct club.
- Check both the draft preview and published site so you know which version needs attention.

#### Steps

1. Open the affected page and choose See the page, then Phone. Switch back to Computer to compare.
2. For a banner, open Page introduction and try Photo beside the text or Image or video first, text below. In More appearance options, reduce Heading size or use a more compact Introduction height if appropriate.
3. For an ordinary Photo or video image section, check Image shape and Inside the frame; choose Show the whole image when cropping is hiding important content.
4. For a gallery, use a suitable Grid, Masonry or Carousel layout and check its displayed image count.
5. For supported ordinary sections, expand Layout & appearance for Spacing and Content alignment, then Motion & visibility → Device visibility. Choose Desktop + mobile when the section should appear on both.
6. For videos, set a Phone video or Phone hero video when offered and provide a cover image.
7. Preview whole site, save and publish, then recheck the actual domain on a phone.

#### Good to know

- Phone preview lets you inspect the draft without publishing.
- Reduced motion shows the accessible static experience. A still cover image can be expected for visitors with reduced-motion preferences.
- Avoid using long unbroken words or URLs as large headings; write a shorter readable title.
- Page visibility, section visibility and device visibility are separate settings.

#### Troubleshooting

- A section appears only on a computer: check Device visibility and Show this section on the page.
- The entire page is unavailable: check Who can see this page? in Page details; that is separate from phone styling.
- The phone still has the old layout: verify that the latest draft was published.
- The video is static: turn off Reduced motion in preview to compare, and check the phone video and cover image.
- Media is cropped: use a different source crop, text-below layout or Show the whole image where that control is offered.

## Experiences & forms

Create and edit experiences, schedules, tickets and forms.

### Create and publish an experience

Open Create, choose Create an event, complete the details and dates, set Pricing & Spots, add any registration questions, and review the page before creating it.

**Where to go:** Create → Create an event

**Guide:** https://aroundu.in/help/create-an-event

#### Before you start

- Sign in to the organizer account that manages the experience or club.
- Have the title, description, dates, location, cover media and at least one experience tag ready.
- For a paid experience, have valid bank-account or UPI payout details ready.

#### Steps

1. Open Create and choose Create an event. If prompted, select the club that should own it.
2. In Basic Details, enter the title and description, add cover media, and choose how people join and where the experience is listed.
3. In Key Details, set the start and end time and location. For multiple experience dates, add dated options or use the advanced date builder; check every generated date before proceeding.
4. Use Fine Tune to add relevant experience tags and the available audience or experience details.
5. In Pricing & Spots, choose free or paid entry, set capacity, and add ticket options if you need different prices or benefits.
6. In Final Touches, add registration questions, guidelines and any optional page details.
7. For a new paid experience, complete Payout Setup. Choose Bank Account or UPI ID, enter the requested details, and verify and save them.
8. Open Review, check the details, price and dates, then select Create Event. Open the published experience page and share its link.

#### Good to know

- A recurring class or appointment is a separate creation choice; use it when customers should choose ongoing dated sessions rather than a single experience.
- Keep one experience page for multiple dates when the experience is the same and guests need to choose a date. Check each date's tickets rather than assuming they share inventory.
- Payout Setup is shown during creation of paid experiences and is hidden in the normal edit flow.

#### Troubleshooting

- Cannot continue: check the required title, description, media, experience tag, dates and capacity. The editor directs you to the missing section.
- Payout verification fails: confirm the account number and IFSC or the full UPI ID. Retrying with the same incorrect details will not resolve it.
- An experience is missing from your website or discovery: check its reach setting and the date/status filters on the destination page.

### Edit an experience or create a copy

Open the experience admin dashboard and choose Edit Plan to change details. Choose Clone Plan to create a new experience from the existing setup.

**Where to go:** Manage → experience admin → Plan Setup & Configuration

**Guide:** https://aroundu.in/help/edit-or-clone-an-event

#### Before you start

- You must manage the experience.
- Check existing bookings before changing dates, capacity, questions or ticket availability.

#### Steps

1. Open Manage and select the experience's admin dashboard.
2. In Plan Setup & Configuration, choose Edit Plan. For a standalone form, choose Edit Booking Page.
3. Change the relevant sections, then review and save the experience.
4. If you want a new experience, choose Clone Plan or Clone Form instead. Replace the title, dates and any experience-specific details before creating the copy.
5. Open the resulting public page to check the saved details. Send an attendee announcement separately if the change affects their plans.

#### Good to know

- A clone creates a new experience; it does not move the original experience's customers or bookings.
- Existing tickets and dates may be protected. Disable or hide a ticket instead of deleting one that already has booking history.
- For recurring schedules, use the calendar manager to edit dated sessions. Changing a session time updates confirmed booking times and future reminders but does not send an announcement automatically.

#### Troubleshooting

- A delete control is disabled: the ticket or date is protected because of existing bookings. Preserve it and adjust its availability.
- The copied form appears incomplete: reload the editor and check the registration questions before saving. Do not create the copy while questions are still loading.
- Guests did not receive a change announcement: use Email Attendees or the available messaging tools after saving the edit.

### Choose experience visibility, approval and attendee sign-in

Use Basic Details to choose Open plan or Request only, and separately choose Everywhere, Only on your website or Link only. On a connected club website, Require attendee sign-in can require mobile OTP before booking.

**Where to go:** Experience editor → Basic Details

**Guide:** https://aroundu.in/help/event-visibility-and-approval

#### Before you start

- Manage the experience.
- A connected club website is needed for the website-specific sign-in setting to appear.

#### Steps

1. Open the experience editor and go to Basic Details.
2. Choose Open plan if people should join or pay immediately. Choose Request only if your team should review requests before people join; accepted guests continue to payment when the experience is paid.
3. Choose the reach: Everywhere for the available public listings, Only on your website for your website listing, or Link only for a page you share directly.
4. If Require attendee sign-in appears, turn it on to require a mobile OTP before booking on the club website, or leave it off to allow the available guest checkout flow.
5. During creation, optionally choose Use this choice for future plans to save the sign-in choice as the club default.
6. Save and review the experience page using the link and website where customers will visit it.

#### Good to know

- Approval and visibility are independent. A request-only experience can still have a discoverable page, and a link-only experience can still allow immediate payment.
- A pre-approved list may require OTP sign-in even when general guest checkout is available.
- For trusted repeat customers who should skip manual approval, use Pre-approved Guests instead of changing the experience to open entry.

#### Troubleshooting

- The attendee sign-in control is absent: confirm the experience belongs to the expected club and that a custom domain is connected.
- A guest can find the page but cannot join immediately: check Request only and any registration or pre-approval requirements.
- A link-only experience is missing from a listing: this is expected. Share its direct experience link.

### Set ticket prices, capacity and sale windows

Open Pricing & Spots, choose flat pricing or Ticket Options, and set the price, capacity and per-person limits. Each ticket can have a sale validity window; booked tickets should be disabled or hidden instead of deleted.

**Where to go:** Experience editor → Pricing & Spots

**Guide:** https://aroundu.in/help/ticket-options-and-capacity

#### Before you start

- Manage the experience.
- Know the actual capacity and what each ticket includes.

#### Steps

1. Open the experience editor and go to Pricing & Spots. Turn paid entry on if you will collect payment.
2. Use flat pricing for one price, or add Ticket Options for separate tiers. Enter each ticket's name, price, description, capacity and Max/Person.
3. Optionally enter a Strike Price to show an original price crossed out. Keep it greater than the actual price.
4. Set an optional Sale Validity Window to control when that ticket can be purchased.
5. For multiple dates, select each date and check its tickets. Use Copy tickets to all dates only when the same pricing should apply everywhere, then review the result.
6. Choose whether to show the exact remaining ticket count and, where available, whether to allow mixing ticket tiers.
7. Choose You absorb it, Customer pays or Split 50 / 50 for the checkout fee. Review the customer total and the amount deducted from settlement.
8. Save. If you need to stop an existing ticket's sales, use its disable or hide control rather than deleting a booked ticket.

#### Good to know

- Capacity limits remain relevant even when a guest has approval or a payment link.
- For a reusable single experience pass, Check-ins granted per purchased pass creates a usable balance. Staff choose how many uses to consume; this does not create a daily attendance rule.
- Changing a displayed price does not rewrite the money already paid on a confirmed transaction.

#### Troubleshooting

- A ticket cannot be deleted: it has existing booking history. Disable it or hide it instead.
- A ticket is not offered to customers: check whether it is hidden, disabled, sold out, outside its sale window or attached to a different date.
- Gender capacity totals do not match: reconcile the breakdown with the overall capacity before saving.
- Need different prices for different class times: the schedule uses the experience price for its sessions. Contact support if you need a price structure that the editor cannot represent.

### Set up recurring classes, appointments or reservations

Choose Create a recurring class, appointment or reservation. In the schedule builder set duration, capacity and weekly times, then set how far ahead and how many sessions a customer can book.

**Where to go:** Create → recurring class, appointment or reservation → schedule

**Guide:** https://aroundu.in/help/recurring-classes-and-appointments

#### Before you start

- Choose the experience type that matches the customer journey.
- Have the location, time zone, duration, weekly times, capacity and price ready.

#### Steps

1. Open Create and choose Create a recurring class, Create an appointment or Create a reservation.
2. Add the basic details. A cover photo is optional for these continuous booking types.
3. Open Class Schedule & Location or Availability & Location. Check the time zone, choose the duration and capacity, and add the weekly time blocks.
4. Set the starting dates or generation horizon shown in the builder and review the initial dated sessions and total spots.
5. Open the booking requirements. Set Book up to, Minimum notice, minimum and maximum sessions, any booking multiple, and the booking period. Use buffers where the appointment or reservation builder offers them.
6. Set Pricing & Spots and any required registration questions. The per-session price is multiplied by the number of attendees and sessions selected at checkout.
7. Review and publish. Use the experience's calendar manager to inspect the actual dated sessions before sharing the page.

#### Good to know

- The maximum selection is 20 sessions, and the editor checks whether the calendar can supply the minimum within the selected period.
- Minimum sessions is a floor. A booking-multiple rule is what restricts allowed counts such as only 2, 4 or 6.
- A private recurring experience still requires approval. Choosing sessions does not bypass a Request only setting.

#### Troubleshooting

- The builder says the minimum is not feasible: add enough sessions in the period or lower the minimum.
- Customers cannot see a time: check the weekly rule, generated date range, minimum notice, maximum advance days, capacity and location.
- A session edit is blocked while seats are held: wait for the active checkout hold to finish or expire, then retry.
- Need different prices for different weekly times: the schedule uses the experience price for its sessions. Contact support if you need a different price structure.

### Create a form or booking page

Choose Create a form, then select Direct payment, Payment after approval or No payment. Add the fields and any pricing or date windows, set the public button text, and choose Publish Page.

**Where to go:** Create → Create a form

**Guide:** https://aroundu.in/help/create-a-booking-page

#### Before you start

- Sign in as the organizer and choose the correct club when applicable.
- Prepare the page title and the questions customers need to answer.
- For payment, prepare valid pricing and available capacity.

#### Steps

1. Open Create and choose Create a form. Choose a template if it matches your purpose, then customize it.
2. Enter a title and description and choose a public URL. Avoid reserved words and check that the URL is available.
3. Under Choose response flow, select Direct payment for immediate submission and payment, Payment after approval for review before charging, or No payment for enquiries, applications, feedback or callbacks.
4. Add and review the questions. The editor provides identity fields; keep the required customer details usable.
5. If taking payment, add pricing options, amounts, capacity and per-person limits. For approval-based payment, choose whether respondents can see the price before confirmation.
6. Add active date windows or reservation times only if the page needs them; a fixed experience date or venue is not mandatory.
7. Set the public button text, theme and relevant host/email choices. Preview the page and choose Publish Page.
8. Share the direct page link. Open Form Submissions in its admin dashboard to review responses.

#### Good to know

- Applying a template adds starter questions; review them rather than assuming the template matches your approval or payment policy.
- For Payment after approval, a submitted response is not a completed paid booking. Review it and accept the respondent before collecting payment.
- The booking page is shared by direct link by default. Website navigation and listing placement should be checked separately.

#### Troubleshooting

- Publish is blocked: add a title and at least one field, fix the URL, and check date windows and paid pricing.
- Customers are asked to pay immediately: check that the response flow is Direct payment rather than Payment after approval.
- A previously sold pricing option cannot be removed: preserve it and disable or hide it so its booking history remains intact.

### Add registration questions and conditional fields

Use Final Touches while creating an experience or Edit Form from its admin dashboard. Add each question, choose its type and mandatory setting, then optionally limit it to tickets or show it conditionally based on another answer.

**Where to go:** Experience admin → Plan Setup & Configuration → Edit Form

**Guide:** https://aroundu.in/help/registration-questions

#### Before you start

- Manage the experience or form.
- Create ticket options first if questions should be limited to particular tickets.

#### Steps

1. Open Final Touches during experience creation, or open Edit Form in the experience's admin dashboard.
2. Set the form title and whether completing the form is required for registration.
3. Add a question and choose its type. Available editor choices include short text, multiple choice, dropdown, number, email, date, file upload and website link.
4. Enter the question text and options where needed. Turn Mandatory on only for an answer that must be supplied.
5. Choose All respondents or the relevant ticket options for a ticket-specific field.
6. For Conditional Logic, turn on Show Conditionally, select the parent question, choose is or is not, and select the answer. Use the available all/any rule combination where needed.
7. Review the order and save. Test the customer page with the matching ticket and answer choices before sharing it widely.

#### Good to know

- Required hidden fields should not be used to force customers to provide irrelevant answers; test each conditional branch.
- The form editor rejects circular dependencies between questions.
- AI-imported questions still need your review for labels, option choices, required settings and ticket mappings.

#### Troubleshooting

- A question does not appear: check the selected ticket and the answers that control its conditional logic.
- Save reports a conditional logic cycle: remove a dependency that leads back to the same question.
- A multiple-choice field has incomplete options: supply each visible label and remove blank options before saving.

### Add an itinerary, FAQs, featured people and media

Open Edit Plan → Final Touches to add Plan Itinerary, FAQs, Featured people, Moments Gallery, Media Note and a WhatsApp help button. Save each editor, then finish saving the experience.

**Where to go:** Experience admin → Edit Plan → Final Touches

**Guide:** https://aroundu.in/help/experience-final-touches

#### Before you start

- Manage the experience.
- Have the itinerary, answers, permitted images and complete external links ready.

#### Steps

1. Open Edit Plan and go to Final Touches.
2. For Plan Itinerary, choose Create Itinerary or Edit Itinerary. Add a date/time and title for each agenda item, optionally add a description, then save the itinerary.
3. For FAQs, choose Add FAQs or Edit FAQs, add complete question/answer pairs and choose Save FAQs.
4. For Featured people, choose the relevant section type and add a person's name, optional role, photo and complete Instagram or Spotify links. Use Add person for another card.
5. Use Choose Moments or Edit Moments to select the gallery content or control whether moments are shown.
6. Use Media Note → Upload File for a personal audio or video greeting. Use the WhatsApp help button controls when you want a direct support button and supply the number with country code.
7. Review the page theme, continue to Review and save the experience. Open the public page to verify the finished sections.

#### Good to know

- These are content additions to the page. Final Touches is not a paid merchandise or extra-ticket-item builder.
- Saving a section dialog updates the edit draft; finish saving the experience to publish the change.
- Itinerary entries need both a valid date/time and title. Featured person cards need a name and full http or https links.
- Use Rules & Guidelines for before/after-registration instructions and the confirmation email note; use FAQs for public questions.

#### Troubleshooting

- An itinerary item will not add: check its time and title.
- A featured-person link is rejected: enter a complete http or https URL rather than a bare handle.
- A page addition is missing after editing: confirm you saved the experience after closing the section editor.
- You need a separately priced add-on item: that control is not provided by Final Touches. Use supported ticket options or contact support about the intended pricing.

### Set guest rules, refund choice and support contact

Use Rules & Guidelines in Final Touches for guest instructions, Pricing & Spots for Allow Cancellation & Refund, and Guest support contact in Review for dedicated assistance. Then inspect Event Terms & Refund Policy from the customer checkout.

**Where to go:** Experience editor → Final Touches, Pricing & Spots and Review

**Guide:** https://aroundu.in/help/set-experience-terms-and-refund-policy

#### Before you start

- Manage the experience.
- Choose a refund setting that your team can honor and prepare accurate support details.

#### Steps

1. Open Final Touches → Rules & Guidelines. Add a Content Section title and body for the rules you want to display.
2. Add Guidelines (Before joining) for preparation or conduct instructions and Success Note (After joining) for the customer's next steps.
3. Add Email Confirmation Note when instructions belong in the confirmation email. Keep it within 300 characters and omit emojis, then choose Save Rules.
4. In Pricing & Spots, review Allow Cancellation & Refund. The standard attendee refundable window closes two calendar days before the experience starts; state the cutoff clearly in the customer-facing instructions.
5. In Review, add Guest support contact only if guests need a dedicated contact. Select an available team contact or enter the name, role and support channels. Leave it blank to use the default organizer details.
6. Finish saving the experience. Open the customer checkout's Event Terms & Refund Policy link and confirm the refund summary, organizer and support details.
7. If the generated refund policy conflicts with the arrangement you intend to offer, contact support before publishing that arrangement.

#### Good to know

- Rules & Guidelines supplies your page instructions. It does not replace the generated Event Terms & Refund Policy or change the refund setting by itself.
- Email Confirmation Note is sent in the confirmation email rather than displayed as general app content.
- Dedicated support contact is optional, and complete phone/WhatsApp details make the generated support actions usable.
- Use a clear cutoff date and time zone rather than the ambiguous phrase 'within two days'.

#### Troubleshooting

- The refund summary has not changed: check Allow Cancellation & Refund and save the experience; editing the Rules title does not change that setting.
- Guests cannot find your confirmation note in the app: that note is email-only. Put persistent instructions in the Success Note or public content section.
- The wrong contact appears: review the selected team member and saved Guest support contact, then recheck the customer terms.
- You need a different automatic refund cutoff: the available switch does not provide a custom cutoff editor. Contact support before promising a different rule.

### Create source-specific sharing links and compare bookings

Open Custom Links, enter a Source Name such as IG or a partner name, and choose Create. Share each generated link with its matching channel and compare People Joined; use Finance Hub for payment and sales attribution.

**Where to go:** Experience admin → Plan Setup & Configuration → Custom Links

**Guide:** https://aroundu.in/help/custom-links-and-booking-attribution

#### Before you start

- Manage the experience.
- Choose a distinct source name for each channel, placement or partner you want to compare.

#### Steps

1. Open the experience admin's Custom Links page.
2. Copy Default Link when you only need the normal experience URL.
3. For attribution, enter Source Name, such as IG-bio or a specific partner name, and choose Create.
4. Copy the generated source link from Referral Links and share that exact link only in its intended channel or placement.
5. Return to Custom Links to review People Joined for each source.
6. Open Finance Hub and inspect successful transactions and the available source, campaign or content filters when comparing paid sales.
7. Use different source names for different placements so you can tell which one produced the booking.

#### Good to know

- Custom Links are booking-attribution links, not coupon codes or free-entry grants.
- People Joined is not a count of every page view, and a booking count is not automatically settled revenue.
- Keep the generated tracking part of the URL when sharing it; replacing it with the default page link loses the source label.
- A customer's final recorded booking or transaction source is the useful evidence for attribution, rather than a promise of perfect tracking of every visit.

#### Troubleshooting

- A source count is zero: check that the exact source link was shared and that it produced a recorded booking.
- You cannot distinguish two placements: create and share separate named links before the next promotion.
- The counts seem different from money collected: compare successful transaction rows rather than page views or pending requests.
- Link generation fails: retry once, check whether the source link already appeared, and contact support if it remains unavailable.

### Send the one-time booking reminder or feedback request

In the experience admin's Real-time Insights, choose Send reminder or Send feedback and confirm. Each action processes eligible bookings once; it is not a reusable broadcast button.

**Where to go:** Experience admin → Real-time Insights → Send reminder or Send feedback

**Guide:** https://aroundu.in/help/send-experience-reminders-and-feedback

#### Before you start

- Manage the experience.
- For reminders, the experience must have an upcoming eligible date or session and must not be past or cancelled.
- For feedback, eligible attendance must have a completed date and must not already have been contacted by this action.

#### Steps

1. Open the experience admin dashboard and find Real-time Insights.
2. Choose Send reminder when you want to notify each attendee's next upcoming booked date or the next booked session.
3. Read the confirmation, check the intended action and choose Send reminder to proceed.
4. After a completed date, choose Send feedback, read the eligibility notice and confirm Send feedback.
5. Review the result message and Sent / processed state. Customers already contacted for the eligible attendance are skipped.
6. For a separate announcement or a custom follow-up, use the available Email Attendees or campaign tools rather than repeatedly clicking the one-time action.

#### Good to know

- For multiple dates, the reminder targets the next relevant booking rather than every future date at once.
- A Sent / processed result describes the action; it does not guarantee every delivery was read.
- Feedback requests are one-time per eligible attendance and cannot be resent through this shortcut.

#### Troubleshooting

- Send reminder is disabled: check whether the experience is past/cancelled, a send is in progress or the action was already processed.
- A repeat click sends nothing: the shortcut intentionally avoids contacting the same eligible booking again.
- No feedback recipients qualify: confirm that an eligible date has completed and that they were not already contacted.
- You need an announcement about a changed time: use an attendee email or the appropriate messaging tool; the reminder shortcut does not replace a custom announcement.

### Schedule a launch or change an experience's lifecycle

For a later launch, open Final Touches → Schedule Drop and set the release time. For an existing experience, Settings offers Mark Closed, Mark as Past or Delete Plan, each with a different consequence from cancelling the experience.

**Where to go:** Experience editor → Final Touches → Schedule Drop; experience admin → Settings → Lifecycle Management

**Guide:** https://aroundu.in/help/schedule-release-or-close-an-experience

#### Before you start

- Manage the experience.
- Review existing members, bookings and your intended consequence before changing its lifecycle.

#### Steps

1. For a scheduled release, open the experience editor's Final Touches and choose Schedule in Schedule Drop.
2. Set the release date/time and optional teaser note. Review the displayed countdown and choose Schedule Drop.
3. Finish saving the experience and check the customer page's scheduled presentation.
4. To remove the planned release, reopen Edit Schedule, choose Remove Schedule Drop, then finish saving the experience.
5. For lifecycle changes, open the experience admin's Settings and find Lifecycle Management.
6. Choose Mark Closed to stop new joins and read its confirmation; the screen states that closure cannot be undone. Choose Mark as Past when the experience should move to past experiences while members can still view moments and provide feedback.
7. Use Delete Plan only when permanent removal is intended and the control is available. It is disabled when there are active members; read the Delete Permanently confirmation before proceeding.
8. If you intend to cancel the experience and initiate paid-member refunds, use Cancel Plan rather than treating Close Plan or Mark as Past as a refund action.

#### Good to know

- Schedule Drop is a page release time, separate from the time the experience itself starts and from a campaign send schedule.
- A teaser does not replace checking the actual launch date/time on the final customer page.
- Close, past, delete and cancel have different effects. Choose the action that matches the intended customer outcome.

#### Troubleshooting

- Schedule Drop cannot be selected: enter a release time in its editor.
- Deletion is disabled: the experience has active members. Resolve the bookings through the appropriate supported flow instead of assuming deletion will refund them.
- Members need refunds: use the cancellation flow and verify the transactions; Mark as Past is not that flow.
- You need to reopen a closed experience: the current close confirmation says it cannot be undone. Contact support before closing if reopening is required.

## Applications & preapprovals

Review applications, invite guests and verify access.

### Review submissions and manage approval or payment requests

Open Form Submissions or Access Requests in the experience admin dashboard. Filter responses, inspect the answers, and choose Accept or Reject. Accepted paid requests remain pending until payment is confirmed.

**Where to go:** Experience admin → Audience & Community → Form Submissions or Access Requests

**Guide:** https://aroundu.in/help/review-form-submissions

#### Before you start

- Manage the experience and have permission to access its customer submissions.
- Use a paid experience with available tickets for replacement payment links.

#### Steps

1. Open the experience admin dashboard and choose Form Submissions or Access Requests.
2. Search the respondent name and apply status, ticket and available form-answer filters. Open a response to inspect the answers and booking details.
3. For a requested application, choose Accept to approve it or Reject and supply the reason requested by the dialog.
4. For an accepted paid request, check the payment status. Approval alone does not confirm payment or guarantee entry.
5. Use the available pending-link actions to retrigger or cancel a link. Undo Cancel and Undo Reject are offered for eligible request states.
6. To change an unpaid request's ticket allocation, select eligible requests and choose Change ticket & send links. Review the replacement ticket quantities and reason, then generate the replacement links.
7. Use Email Recipients for follow-up and Download CSV for a submission export. Check the current filters before exporting.

#### Good to know

- Use form-answer filters to find relevant respondents before taking an action. A shortlist is decision support; your team still approves or rejects the request.
- Bulk cancellation stops active request payment links. It does not refund completed payments.
- A partial replacement result can mean the ticket change saved but delivery failed; the page reports this and may still let the attendee pay in the app.

#### Troubleshooting

- A customer remains Payment pending: ask them to check the payment result and review the Finance Hub; do not treat acceptance as payment success.
- Replacement links are unavailable: select requests that are still eligible for an unpaid replacement link. If Change ticket & send links remains unavailable or reports an unsupported action, contact support.
- No responses match: clear status, ticket, search and form-answer filters before assuming the form has no submissions.
- A rejection reason is required: enter a clear reason before submitting; it can be included in the customer notification.

### Add or import pre-approved guests

For a private experience, open Pre-approved Guests and add a valid Indian mobile or import the CSV/XLSX template. Matching guests verify their mobile and skip manual approval; paid experiences still require payment.

**Where to go:** Private experience admin → Audience & Community → Pre-approved Guests

**Guide:** https://aroundu.in/help/pre-approved-guests

#### Before you start

- The experience must use Request only/private entry.
- Manage the experience and have the customer-data permission needed for imports.
- Use supported Indian mobile numbers. Email alone is not sufficient for mobile OTP eligibility.

#### Steps

1. Open the private experience's admin dashboard and choose Pre-approved Guests.
2. For one guest, enter the mobile, optional name/email, attendee-seat allowance and optional expiry. Choose Add pre-approved guest.
3. Use 0 for an unlimited allowance or a whole number from 1 to 20 to cap seats. Experience and ticket capacity still apply.
4. For a batch, download the CSV template and fill its name, mobile, email and slots columns. Import the CSV or XLSX file and review imported, duplicate and invalid counts. Keep each batch at 1,000 rows or fewer.
5. If the club has a shared approved list, decide whether Use this club's pre-approved list should remain on. Manage the shared list through Audience.
6. Ask the guest to use the mobile on the list when signing in with OTP. A matching guest continues to payment when the experience is paid; other guests submit a request.
7. Revoke an unused approval if it should no longer apply. Review the entry's status before changing it.

#### Good to know

- Pre-approval bypasses manual review; it does not grant complimentary admission.
- Turning off inheritance from the club list leaves confirmed bookings valid.
- Blank spreadsheet seats or 0 use the unlimited allowance. A seat allowance is not a promise to exceed the experience's remaining capacity.

#### Troubleshooting

- A guest still needs approval: check the exact mobile, expiry, revoked/claimed state, requested seats and whether the experience inherits the club list.
- An import row is invalid: check the mobile and a whole-number seat allowance between 0 and 20. Fix invalid rows and re-import only the corrections.
- A mobile and email conflict is reported: resolve which contact the details belong to before importing.
- The action is absent: confirm this is a private experience rather than an open experience or standalone form.

## Audience & enquiries

Contacts, imports, website enquiries and customer history.

### Find, search, reply to and export website enquiries

Open Audience → Website enquiries to read website form responses and public profile enquiries. Search people, messages and answers, reply by email, and export all enquiries if your role permits.

**Where to go:** Club workspace → Audience → Website enquiries

**Guide:** https://aroundu.in/help/website-enquiries

#### Before you start

- Sign in with access to the correct club's audience and customer records.
- Export requires full admin access or a team role that permits customer data exports.

#### Steps

1. Open Audience from the club workspace.
2. Choose Website enquiries. With Marketing & CRM, this opens in the audience workspace. Website-only clubs see Website enquiries in their dashboard.
3. Use Search people, messages and answers to find a visitor by name, email, phone, message, source domain or answer.
4. Read the enquiry card for its form/public-profile source, New/Replied status, contact details, message and form answers.
5. Choose Reply by email, write the reply and choose Send reply.
6. Use Refresh to reload the latest enquiries.
7. If available, choose Download all enquiries (Excel) to export every enquiry, including contact details, all form answers and replies.

#### Good to know

- Website forms and public profile enquiry responses appear together here.
- Where Contacts is available, use it to view the visitor's contact profile and follow up.
- The builder edits what visitors see; Audience is where you manage inbound responses.
- Website enquiries, WhatsApp/Instagram/email message threads, and AroundU support requests are separate entry points.

#### Troubleshooting

- If no responses appear, clear search and choose Refresh, then confirm the correct club.
- Submitting in draft preview does not create a live enquiry.
- If the export button is missing, ask the owner whether your team role permits customer data exports.
- If a reply fails, read the returned delivery error before trying again; successful replies mark the enquiry Replied.

### Where do I find customer enquiries and requests?

Open Marketing → Inbox for WhatsApp, Instagram and email conversations. Open Marketing → Audience → Website enquiries for your website forms and public profile enquiries. Open the experience's Submissions page for experience forms and access requests. AroundU's internal Sales tracker is a separate staff workspace.

**Where to go:** Club admin → Marketing → Inbox or Audience; experience admin → Submissions

**Guide:** https://aroundu.in/help/find-enquiries-messages-and-requests

#### Before you start

- Access to the correct club or experience workspace.
- The relevant customer-viewing, inbox or experience permissions. Website enquiries currently require a club administrator.

#### Steps

1. For a WhatsApp conversation, open your club's Marketing page, select Inbox, then WhatsApp. Search a name or the full phone number with country code.
2. For Instagram activity or email replies, select the matching channel in Inbox. A channel must be connected and operational before new activity can appear.
3. For a website contact or inquiry form, open Audience → Website enquiries. Search people, messages or answers, then open the enquiry card to read the submitted fields and source.
4. For an application to an experience, open that experience's Submissions page. Review its form answers and request status there; accepting an access request is different from replying to a message.
5. Use Audience → Contacts to open the person's combined customer history. This is the directory; it does not replace the channel conversation or experience decision queue.
6. If you are AroundU internal staff tracking a potential organizer, use the internal Sales tracker. Those sales entries are not the organizer's customer inbox.

#### Good to know

- Website enquiries show New or Replied. Reply by email opens an Email reply field; Send reply sends the response and refreshes the card.
- The same website enquirer can also appear in Contacts without becoming a second customer profile.
- A public profile enquiry, a website form, a private experience request and a WhatsApp message describe different actions. Only the experience request is an admission decision.

#### Troubleshooting

- No website enquiries match? Clear the search, use Refresh and check that you opened the correct club.
- No WhatsApp conversations? Check the WhatsApp connection in Settings. New inbound messages to the connected number appear automatically when capture is ready.
- Cannot open Website enquiries? Ask a club administrator to review it; a customer-viewing role alone may not unlock this administrator-only screen.
- AroundU staff access does not automatically make you the owner or administrator of a customer's club.

### Search your audience and understand a customer

Open Marketing → Audience → Contacts → People. Search or apply filters, then open a person's name to see recorded profile details, bookings and activity. Use Insights & sources to understand where contacts and repeat attendance come from.

**Where to go:** Marketing → Audience → Contacts → People

**Guide:** https://aroundu.in/help/search-and-understand-audience

#### Before you start

- Pro or AI Employee CRM access, or a separately granted eligible CRM plan access.
- Permission to view customer data.

#### Steps

1. Open your club's Marketing page and choose Audience → Contacts → People.
2. Search the customer directory. Use the visible profile, experiences and value filters to narrow the results using information your club actually recorded.
3. Review the matching count and active filters. Clear a filter when you want the full directory again.
4. Open a person's name to inspect the profile and history. Check which bookings, attendance, forms, enquiries, messages, feedback or imported history support what you see.
5. Open Insights & sources when you want a wider view. Use the source collections to open the relevant experience audience or imported contacts.
6. To inspect brand sign-ins, use the brand website sign-in filter. This represents recorded authenticated visits to your branded site.

#### Good to know

- Imported records are labelled separately. A spreadsheet saying someone attended is imported history, not proof of an AroundU check-in.
- A booking and an attendance record are different; use the appropriate experience-participation filter.
- An AroundU account or experience booking alone does not prove a brand website sign-in.
- A sign-in, import or previous booking does not itself establish permission for a marketing campaign.

#### Troubleshooting

- Contacts appear but analysis is unavailable? Continue using People and ask an administrator to review the audience reconciliation status.
- A contact seems missing? Clear source, experience, location, sign-in and other active filters before searching again.
- The count differs from a list of bookings? One person can have several bookings; the directory counts customer profiles.
- A field says unknown or is empty? Do not assume it from the person's name or history. Record it only when you have the actual information.

### Import contacts and past experience history from Excel or CSV

Go to Audience → Contacts → Import contacts, upload a .csv or .xlsx file and review Smart audience import. Each usable row needs an email or mobile number. Choose whether the file is an attended experience, bookings with unknown attendance or a general contact list, then review and import.

**Where to go:** Marketing → Audience → Contacts → Import contacts

**Guide:** https://aroundu.in/help/import-contacts-and-past-history

#### Before you start

- CRM access on Pro or AI Employee and customer-import permission.
- A .csv or .xlsx file containing an email or mobile column; only one is required for each person.
- Actual permission to use the file and accurate descriptions of any history you provide.

#### Steps

1. Open Audience → Contacts. Download Template if you want the sample columns, or choose Import contacts and upload your own .csv or .xlsx file.
2. If the workbook has several worksheets, choose Worksheet to import. Only that worksheet is imported in this run.
3. Under Match the people columns, review the suggested mappings. Map Email or Mobile, and any name, age, gender, location and other fields you have. Correct wrong automatic mappings.
4. Under Tell us what this file represents, choose They attended an event, They booked; attendance unknown, or General contact list. Add the experience or list context only when it is accurate.
5. Review additional fields. Map useful extra columns to saved or new custom fields using the appropriate text, number, date, yes/no or choice type. Choose a configured location explicitly if the history belongs to that branch.
6. Review the preview and counts, including invalid rows, exact duplicates and repeat-customer history. Confirm the required import details, then choose Import people.
7. Check the resulting Contacts and the selected audience list. Open a profile to confirm that identity and imported history are recorded as you intended.

#### Good to know

- Exact duplicate rows are removed; distinct repeat-customer rows can be kept as history.
- City, area and address columns can support location search. A spreadsheet branch name does not automatically assign a configured club location.
- Importing a contact or past attendance does not grant private-experience access. Use Pre-approvals or the private plan's pre-approved list separately.
- Uploading a file does not automatically grant marketing consent or schedule messages.

#### Troubleshooting

- No valid rows? Check that each row has a valid mapped email or mobile number. Use a country code for non-Indian phone numbers.
- A custom field is rejected? Match its saved type and allowed choices; do not change a numeric or choice field into unrelated text.
- The import times out? Check Audience before uploading the same file again; the import may still be finishing.
- Retry intelligence sync appears after contacts imported? Use that action to retry the remaining synchronization instead of importing the contacts again.
- To import another worksheet, upload the workbook again and select that tab.

### Organize audience lists, save segments and export contacts

Open Audience → Contacts to add a contact or organize lists. Filter People and save a segment to return to that view. Use the directory's Excel or CSV export when your role permits it. AI Employee adds optional automatic segment membership updates.

**Where to go:** Marketing → Audience → Contacts → People

**Guide:** https://aroundu.in/help/save-audience-lists-segments-and-exports

#### Before you start

- CRM access; editing or import permission for changes and export permission for downloads.
- AI Employee access for automatic segment updates.

#### Steps

1. To add a person manually, choose Add contact. Enter a mobile number, optionally a name and email, and an Audience list. Save the contact.
2. To build a segment, filter People by the recorded attributes you need. Review the matching people before saving or selecting them.
3. Use the segment-save control, enter a useful segment name and save. Open Saved segments to apply it again or remove an obsolete saved segment if you have editing access.
4. On AI Employee, use Enable auto updates for a saved segment when you want its membership refreshed automatically. Use Pause auto updates or Refresh now to control it.
5. To export, first check the current directory filters. Choose the Excel or CSV export control and review the download produced for the permitted selection or view.
6. Before sending a campaign, review the recipients again in the campaign's audience preview; a saved list or view does not override channel eligibility.

#### Good to know

- A manual contact accepts a 10-digit Indian mobile number; use +country code for other countries.
- On Pro, opening a saved view uses current data. Automatic membership updates are a separate AI Employee feature.
- Customer view, edit, import, export and deletion permissions are separate controls on AI Employee.
- Removing a saved segment is different from deleting its customer records.

#### Troubleshooting

- No export button? Ask the owner to check your customer-export permission and plan access.
- Cannot enable auto updates? Verify AI Employee plan access; Pro can still use saved views manually.
- The saved segment has fewer people? Check the saved filters and current profile evidence. Membership can change as records change.
- A bulk selection is too large? Use the visible selection limit and narrow the view instead of assuming the action includes every profile.

### Review an enquiry's source and match recorded campaign context

Open the WhatsApp conversation → Add note about user → Customer details & acquisition history. Read the acquisition touch and source details; when appropriate, select the matching AroundU campaign in its dropdown. That association records context, not proof that an ad, click or enquiry caused a paid booking.

**Where to go:** Inbox → WhatsApp conversation → Customer details & acquisition history

**Guide:** https://aroundu.in/help/review-enquiry-source-and-campaign-attribution

#### Before you start

- Customer/inbox access and the permissions needed to update the lead's campaign association.
- Actual recorded acquisition context or a justified campaign match.
- A source/referral event must exist to display acquisition details.

#### Steps

1. Open the customer's WhatsApp conversation and expand Add note about user → Customer details & acquisition history.
2. Review Acquisition history for the recorded source, time, headline/body and any supplied source reference. Use View source when available.
3. Read whether the touch is already matched or says Unmatched to an AroundU campaign.
4. Select the appropriate recorded AroundU campaign from the dropdown only when that match is supported by the actual context. Review the refreshed saved association.
5. Open the campaign results for its separate delivery, read, button-response or tracked-click evidence.
6. For a paid-booking question, inspect the supported revenue evidence chain or actual checkout/payment record. Do not promote a manually matched touch into proof of conversion.

#### Good to know

- Source information appears when the incoming event supplies it; ordinary organic messages may have little acquisition detail.
- A source link or click identifier is evidence of that observed touch, not a guaranteed complete customer journey.
- Manual matching helps organize the club's campaign context; it does not fabricate a click or payment.
- External checkout payment needs its own evidence. Current AI revenue attribution excludes external booking sales.

#### Troubleshooting

- No acquisition history? Check the relevant conversation/touch; no supplied source should remain unknown.
- Campaign not in the dropdown? Confirm the correct club and available campaign history.
- Source differs from a tagged link? Compare the actual referral/touch with link-tracking evidence; they are different recorded stages.
- Revenue is unavailable? Read the campaign's identity/session/payment coverage notes instead of treating the source match as a sale.

### Turn a website enquiry into a confirmed booking

Open Website enquiries, read the submitted answers and reply using the available channel. Direct the customer to the correct experience or application page. If approval is required, review the application before requesting payment. Count the guest as booked only after the booking and any required payment are confirmed.

**Where to go:** Marketing → Audience → Website enquiries, then experience admin → Submissions / Finance

**Guide:** https://aroundu.in/help/turn-an-enquiry-into-a-booking

#### Before you start

- Permission to view the enquiry and use the chosen reply channel.
- A published experience with the correct capacity, ticket choices and booking flow.

#### Steps

1. Open Marketing → Audience → Website enquiries, find the customer's submission and read its source and answers.
2. Confirm which experience, date and ticket option the customer needs. Check availability before promising a place.
3. Use Reply by email where available, or open the connected Inbox conversation for the appropriate channel.
4. For direct booking, share the correct public booking page. Use a recipient-specific payment link only when that is the intended sales flow and you have reviewed its ticket and recipient details.
5. For an application or Pay After Approval flow, send the application page, review the resulting request in Submissions, and accept the suitable request before collecting payment.
6. For an unpaid payment request, inspect its status before resending or replacing a link. Follow up using the appropriate tool and permission.
7. Check the experience's confirmed booking or payment records. An enquiry marked Replied, a sent link or a submitted application does not itself confirm admission.
8. Update your customer notes or follow-up record so the next teammate can see what was agreed.

#### Good to know

- The Continue action after a website enquiry can open an experience or hosted form; the customer still needs to complete that next flow.
- Preapproval skips manual approval for a verified eligible guest; it does not waive payment on a paid experience.
- Review consent and relevance before turning an enquiry into a promotional campaign recipient.

#### Troubleshooting

- If you see an enquiry but no booking, check whether the customer completed the next action or still needs approval or payment.
- If the payment succeeds but the guest is not confirmed, inspect the recorded payment and admission status before asking them to pay again.
- If another teammate already replied, read the latest conversation and notes before following up.

## WhatsApp & Inbox

Connect your number, manage templates and answer customers.

### Connect your WhatsApp Business number

Go to Marketing → Settings → Connections → Connect WhatsApp. Choose the setup path, enter the club details and finish official Meta signup. Return to AroundU and refresh the connection. If you want to keep the same number in the WhatsApp Business app, use Alert AroundU team first for the supported coexistence setup.

**Where to go:** Marketing → Settings → Connections → WhatsApp Business

**Guide:** https://aroundu.in/help/connect-whatsapp-business

#### Before you start

- An eligible paid CRM plan and administrator/settings access for the club.
- Access to the Meta business and the phone number used for verification.
- The WhatsApp connection flow must be available for your club.

#### Steps

1. Open Marketing → Settings → Connections and choose Connect WhatsApp or Continue setup.
2. Choose Connect a new number, Use an existing Meta business, or Move from another provider according to your actual setup.
3. Enter Business/contact name, Business email, Phone with country code and Workspace name.
4. Continue into official Meta signup. Select or create the appropriate Meta business and WhatsApp account, and complete the requested business and phone verification.
5. Return to AroundU and refresh the connection. Review the connected number and sender status; Setup complete and Live are different states.
6. If more than one sender is present, select the intended active default sender. Use the templates approved for that number in its campaigns.
7. Open Inbox to confirm inbound capture, Templates to review approved messages and Balance to check communications funds before sending. This navigation item can be labelled Credits before a club number is connected.

#### Good to know

- Keeping the same number in the WhatsApp Business app uses the separate Coexistence path. Choose Alert AroundU team before starting onboarding from this screen.
- For a migration, finish or pause current-provider campaigns, follow the screen's two-step-verification instructions and retain access to the verification code. After migration, the old provider cannot send from that number.
- Never send from AroundU's WhatsApp number blocks shared-number sends even if your own connection is paused or disconnected.

#### Troubleshooting

- Meta signup did not open? Allow the signup window for this action and retry Continue setup.
- Pending verification? Finish the Meta checks and refresh status; do not assume registration alone enables sending.
- Sender unavailable or campaigns paused? Review connection status and the default sender. Ask support if the workspace's campaign rollout remains disabled.
- Connection service could not be verified? Use Retry availability check; avoid changing sender settings based on an unverified status.
- Disconnecting stops sending from the owner number until reconnecting; existing leads and conversations remain visible.

### Create, submit and use a WhatsApp template

Open Marketing → Templates → WhatsApp. Review starter messages or choose New template, fill the message and fields, then Submit to Meta. The template can send only after Meta approves it for your connected WhatsApp number. Approved automatic-use assignments and campaign sends are separate decisions.

**Where to go:** Marketing → Templates → WhatsApp

**Guide:** https://aroundu.in/help/create-and-approve-whatsapp-templates

#### Before you start

- An active connected WhatsApp sender and eligible marketing/template permissions.
- Exact message facts and values for required parameters.
- AI Employee for continuing AI creation and rewriting; Pro has one free AI WhatsApp draft per club.

#### Steps

1. Open Templates, choose WhatsApp and verify that the connected campaign sender is the correct club number.
2. For suggested messages, open the starter package's Review & create, Review & repair or Review exact messages control. Select the messages you actually want and read their exact wording, fields and button destinations.
3. For your own wording, choose New template. Enter the template details, body, required field mappings and any supported header, footer or buttons. Use preview to verify the customer-facing message.
4. Use Save draft if you want to keep working without submission. Choose Submit to Meta, or Save and submit for an editable revision, when the exact message is ready.
5. Open My Templates and review the current status. Use Sync Meta to refresh provider approval state; use only the approved version for the active sender.
6. For supported automatic experience messages, choose the appropriate automatic-use assignment only after reviewing its experience and field contract. A template available for campaigns is not automatically assigned to an experience action.
7. Select the approved template in a campaign, Inbox reply or workflow and fill every required parameter and destination before authorizing the send.

#### Good to know

- Starter messages are suggestions, not pre-installed approvals. Each selected message is created or repaired separately and submitted for review.
- Meta makes the final approval and category decision. A requested utility category is not a guaranteed utility price.
- Samples for review should use examples rather than real customer data. Automatic messages use actual attendee/booking values.
- An approved template's exact content matters. Use a replacement/revised version when the required text or approved URL prefix changes.
- Saving or submitting a template does not send a campaign.

#### Troubleshooting

- No active sender? Finish WhatsApp setup in Settings before creating or submitting owner-number templates.
- Template missing in a campaign? Check approval, archive status and that it belongs to the current default sender.
- Numbered field has no mapping? Review fields in Templates; AroundU will not guess its meaning.
- A replacement still has a previous automatic assignment? Review and clear the old assignment as prompted before saving the replacement.
- Updated starter package unavailable? Keep using your existing approved templates in My Templates and ask AroundU support to make the updated package available.
- Too many template submissions? Wait before retrying and review the recorded submission errors.

### Read, assign and reply to customers in Inbox

Open Marketing → Inbox, choose a channel and select the conversation. On WhatsApp you can send text and supported attachments during the open 24-hour reply window; outside it, choose an approved template and fill its fields. Use Status, Owner and team notes to coordinate follow-up.

**Where to go:** Marketing → Inbox → WhatsApp, Instagram or Email

**Guide:** https://aroundu.in/help/reply-to-customers-in-inbox

#### Before you start

- Eligible CRM access and permission to view customers and reply in Inbox.
- A connected operational channel. Owner-number WhatsApp sending also needs eligible sender and billing setup.

#### Steps

1. Choose Inbox and select WhatsApp, Instagram or Email. Search for the person; WhatsApp search accepts a name or number with country code.
2. Open the conversation. Use Load older messages when the saved history extends beyond the current page.
3. Review Status and Owner. Set Open, Pending or Resolved and assign the permitted teammate responsible for the next response.
4. On WhatsApp, inspect the window banner. During the open window, write the reply and optionally add a supported attachment. After it closes, select an approved template and fill all required fields and button values.
5. Review the preview/content, then choose Send. Check the recorded message status instead of treating a queued or provider-accepted message as delivered.
6. Open Add note about user to save Team notes. Expand Customer details & acquisition history when you need to review CRM name, email, qualification or acquisition evidence.
7. To begin an owner-number conversation, choose New message or search a full phone number and choose Send template to that number. Review the template and eligible recipient before sending.

#### Good to know

- Within the open WhatsApp reply window, text/media replies have no Meta messaging charge; provider fees may apply. The screen explains any temporary wallet hold.
- Older safely attributed shared-number replies can be read-only. Connect the club number to continue from this Inbox.
- Team notes are internal and saved in Audience.
- An Instagram comment or story mention is recorded activity; current replies require an eligible DM with an open reply window and enabled sending.
- Completing an internal reminder does not send a reply.

#### Troubleshooting

- Send disabled? Check content, attachment upload, required template fields, connection/billing status and your reply permission.
- Window closed? Use an approved template; editing the original text does not reopen the service window.
- A message says unavailable? Ask the customer to resend it as supported text or an attachment; unsupported historical content cannot be recovered.
- History could not load? Use its Retry/refresh action before assuming messages are missing.
- Instagram is read-only? Check the selected Instagram account and whether incoming messages and replies are enabled in Settings.

### Schedule an experience invitation and a no-reply follow-up

Select people in Audience and open Schedule a WhatsApp invitation. Choose an upcoming experience, approved message, time and what happens if there is no reply. Pro can schedule the invitation and remind your team. AI Employee can add a second approved customer message and optional AI-selected timing.

**Where to go:** Audience selected people → Schedule a WhatsApp invitation; Marketing → Follow-ups

**Guide:** https://aroundu.in/help/schedule-whatsapp-invitations-and-followups

#### Before you start

- Pro marketing access for a scheduled invitation/internal reminder.
- AI Employee for an automatic second customer message or AI timing.
- An upcoming experience, eligible selected contacts, approved compatible templates and operational WhatsApp billing.
- A club owner or full-access administrator with campaign-send permission must open the invitation journey.

#### Steps

1. In Audience, select the intended people and choose Schedule WhatsApp + follow-up.
2. In Schedule a WhatsApp invitation, choose the upcoming Event to invite them to and name the journey.
3. Select the approved Invitation template and review its parameters and booking button. On Pro, fill every required value yourself; AI Employee can prepare verified experience details.
4. Choose Send at using the local-time field. Messages operate within the shown 9 am–8 pm India sending window; an outside-window send waits until 9 am.
5. Under If the customer does not reply, select Do nothing, Create a task for my team, or the eligible AI Employee second customer-message option. Choose its delay and actual reminder/template content.
6. If using AI timing, set the maximum extra delay and review that this chooses a slot rather than adding messages.
7. Choose Check eligibility and preview. Review selected/eligible/excluded counts, the rendered messages, initial/max cost and available balance. Confirm the review checkbox, then Confirm schedule.
8. Open Follow-ups · Needs attention for internal reminders and approvals, and the workflow History/Broadcasts views for execution status. Mark done completes an internal reminder only.

#### Good to know

- Replies, recorded AroundU bookings, opt-outs, closed conversations and human takeover protect pending customer sends.
- External bookings need a connected booking signal; they cannot stop a workflow from an unrecorded assumption.
- Journey preview does not reserve the displayed balance. Dispatch rechecks funds and pricing.
- Missing reply-pattern history or an AI timing error uses the configured schedule and records the fallback.
- A suggestion or internal task is not a scheduled customer message.

#### Troubleshooting

- An approved template is unavailable for the journey? Review its content/buttons; the screen may require a Reply STOP replacement in Templates.
- Nothing scheduled after preview failure? Retry eligibility preview after recovery; do not assume preview enqueued a send.
- No eligible recipients? Inspect missing phone, consent, suppression, opt-out, existing booking and duplicate exclusions.
- A pending step stopped? Open History and read the actual stop reason before scheduling anything again.
- An approval-required run has not started? Review and approve its saved steps in the attention/history queue.

### Build, publish and monitor WhatsApp workflow rules

Go to AI Employee → Follow-up rules. Choose a scheduled-send, internal-reminder or automatic customer-follow-up starter, configure the trigger and steps, save the draft and Review & publish. Pro supports manual scheduled messages and internal rules; automatic customer-message rules and AI timing need AI Employee.

**Where to go:** Marketing → AI Employee → Follow-up rules → Workflows; Follow-ups → Needs attention

**Guide:** https://aroundu.in/help/build-whatsapp-workflow-rules

#### Before you start

- Eligible marketing access and the permitted workflow/admin actions.
- AI Employee for automatic customer-message rules or AI-selected timing.
- Approved compatible templates, actual parameters and channel permission for customer sends.
- A club owner or full-access administrator must open the current AI Employee workspace. A custom role with some campaign permissions may not see this tab.

#### Steps

1. Open Marketing → AI Employee → Follow-up rules and choose the appropriate starter: Schedule one customer's follow-up, Prepare a broadcast, Create a no-reply reminder, or the eligible Create automatic customer follow-up.
2. Name the rule and choose its trigger. Configure each step's wait in minutes, condition and action: customer template, internal task, stage change, assignment or stop.
3. For template steps, choose the approved text template and fill parameters and any required tracked booking destination/button value. Review the actual preview.
4. Choose whether new enrollments need approval. If opting into AI timing, review the sending limits and maximum extra delay.
5. Save the draft, then choose Review & publish. Read the publication warning and Confirm publish only when the steps are ready.
6. Use Pipeline to inspect/move a conversation's stage, Broadcasts for separately scheduled lists, and History to inspect each saved run and timing decision.
7. Use Pause to stop future enrollment and pause its related runs. To edit, pause the definition first; existing runs retain their approved snapshot.

#### Good to know

- Automatic triggers act on new matching activity, not the old unanswered backlog.
- Each delay starts after the previous step completes. Template steps wait for provider send confirmation.
- Pausing cannot recall a message already sent, and separately scheduled broadcasts have their own controls.
- Internal tasks appear in Follow-ups · Needs attention. Completing one does not message the customer.
- Binding values are explicit; the screen supports the shown contact-name/phone bindings and does not infer other details.

#### Troubleshooting

- Cannot edit a published definition? Pause it first, then edit/save/review the new definition.
- No automatic customer-message option? Check AI Employee access; Pro can still create a manual scheduled send or internal reminder.
- A run waits for approval? Open History or Follow-ups, review the frozen steps and approve or cancel.
- A customer message stopped after cross-channel contact or human takeover? Read History; these checks are part of eligibility.
- An old contact was not auto-enrolled? Trigger behavior uses new activity. Use explicit reviewed enrollment when appropriate.

### Connect Instagram customer messaging

Open Settings → Connections → Instagram Inbox and Connect Instagram. Authorize the professional account through its linked Facebook Page, choose the account and Activate selected account. Confirm that incoming messages and replies are enabled; an ad account is not required.

**Where to go:** Marketing → Settings → Connections → Instagram Inbox

**Guide:** https://aroundu.in/help/connect-instagram-inbox

#### Before you start

- Eligible AI Employee Instagram connection access and the permitted connection actions.
- A professional Instagram account through its linked Facebook Page and the required Meta permissions.
- Incoming messages and replies must be enabled for the connected account. This feature is currently labelled Review testing.

#### Steps

1. Open Settings → Connections and find Instagram Inbox. Read the current Review testing and availability status.
2. Choose Connect Instagram and complete the official authorization for the professional account.
3. Back in AroundU, select Professional account. If permission warnings appear, use Reconnect Instagram to grant the required messaging/Page permissions.
4. Choose Activate selected account when it is available. Refresh and verify Inbox account, Webhook subscription, Inbound capture and Replies independently.
5. Open Inbox → Instagram to inspect new user-initiated DMs, comments and story mentions.
6. Reply only to a supported DM with an open reply window and enabled sending. Use the displayed status rather than assuming every captured experience is replyable.

#### Good to know

- An ad account is not required for the Instagram Inbox connection.
- Authorization saved does not by itself establish an operational Inbox.
- The screen labels the feature Review testing. Availability can vary by account; confirm the displayed connection and reply status.
- Captured comments/mentions can contribute customer activity but do not grant an arbitrary outbound messaging window.

#### Troubleshooting

- Missing required permissions? Reconnect once using the account that can grant them, then activate the selected account.
- Incoming messages or replies off? Ask AroundU support to check availability for your account.
- No conversations? Verify webhook subscription and inbound capture, then test with an actual user-initiated supported message.
- Reply window closed? The current UI blocks that reply; reconnecting does not create a new customer messaging window.
- Could not check connection? Refresh status before acting on stale account information.

### Fill a WhatsApp template's details, attachment and button

Select the approved template, then complete Fill in the details and inspect Message preview. Fields marked Filled automatically when sent are supplied per recipient; fill the others. A locked button prefix must match the approved URL. For a tracked button, enter its destination. Add an attachment only when the approved template supports that media field.

**Where to go:** WhatsApp campaign → Content → Fill in the details / Message preview

**Guide:** https://aroundu.in/help/fill-approved-whatsapp-fields-and-buttons

#### Before you start

- An approved active template for the actual sender.
- Accurate values and a working destination that match the approved template.
- The media type must be supported by the selected template and sending surface.

#### Steps

1. Select the template in the WhatsApp Content step and read the message and field labels.
2. Leave fields marked Filled automatically when sent alone. Fill every other required field with the actual experience/message detail; do not rely on the sample wording as real data.
3. For a button with a fixed prefix, enter only the changing part or paste a full URL that begins with the displayed prefix. The prefix was approved earlier and cannot be changed in this campaign.
4. For a tracked button, enter the displayed destination field. AroundU gives recipients a tracked redirect that opens the reviewed destination.
5. If a Campaign attachment field appears, use its supported upload/URL input and preview the attachment. A text-only template does not gain an image simply because a campaign needs one.
6. Read Message preview and open the button preview to check the destination. Fix required or unmapped fields before continuing.
7. For an Inbox template reply, inspect the selected template's required field/attachment controls there; a template supported in one surface may need different checks in another.

#### Good to know

- A recipient's name can be supplied automatically in the campaign. The example name in a preview is not a list of real recipients.
- A different website prefix or new approved wording requires a revised/replacement template in Templates and another Meta review.
- Only the configured tracked button supplies AroundU recipient click evidence; a separate direct URL may not.
- A tracked click to an external checkout is not proof of payment.

#### Troubleshooting

- Wrong prefix warning? Use a matching destination, or prepare a replacement with the correct approved prefix.
- Numbered field has no saved mapping? Open Templates and fix the field definition; AroundU will not guess its meaning.
- Attachment control absent? Choose an approved template supporting that media type or create/approve an appropriate replacement.
- An unresolved field remains in preview? Recheck required values and experience details before sending.

### Recharge WhatsApp Balance and understand held usage funds

Open Marketing → Balance for the connected WhatsApp number. Review the available/reserved amounts and displayed rates, then Recharge WhatsApp Balance. The amount added to the wallet and GST are shown separately. Balance Activity records reservations, charges and released funds; a held amount is not itself final billed usage.

**Where to go:** Marketing → Balance → Recharge WhatsApp Balance / Balance Activity

**Guide:** https://aroundu.in/help/recharge-and-check-communications-balance

#### Before you start

- A club owner or full-access administrator who can open the balance screen.
- Connected-number billing setup and a supported recharge amount.
- Review the current rates and minimum shown on your account.

#### Steps

1. Open Marketing → Balance. Before a business number is connected this navigation item can be labelled Credits; check which sending arrangement the screen describes.
2. Review available and reserved funds, current category rates and any billing setup warning.
3. Open Recharge WhatsApp Balance. Choose a preset or enter Amount to add to wallet (INR, before GST).
4. Review Added to wallet, GST and Total payment. Choose the displayed Pay amount to complete the supported payment flow.
5. On return, allow the recharge confirmation to finish. Check the updated balance and Balance Activity for Balance recharge.
6. For a held amount, inspect Usage amount reserved, Usage charge and Unused amount released. Review the related campaign/message status before treating a hold as a settled charge.

#### Good to know

- Subscription access and communications balance are separate purchases.
- GST is added to the recharge payment; the quoted wallet amount is the usage balance being added.
- The open 24-hour reply window permits supported non-template replies, but it does not make every provider service reply free. Read the account's current allowance/rate guidance.
- When the provider confirms a message is non-billable, the applicable temporary reservation is released.
- Category, country and provider billing confirmation can affect final charges. Use the current quote rather than an old campaign rate.

#### Troubleshooting

- Payment completed but balance still pending? Refresh/check the recharge confirmation and contact support with its actual payment reference before paying again.
- Rate says Not configured? Ask support to restore billing setup before sending.
- Available funds are lower than the total? Review open reservations and scheduled/retrying campaigns.
- Billing processing warning appears? Its status concerns reconciliation; it does not by itself prove a message delivery failure.

### Archive, restore or delete an unused template

In Templates → My WhatsApp templates, approved templates offer Archive and Restore. Delete removes the template from AroundU and, if submitted, from the connected provider. Read any automatic-use assignment warning first. To change approved wording or a locked URL prefix, use Customize wording/Create replacement and approve the new version.

**Where to go:** Marketing → Templates → WhatsApp → My WhatsApp templates

**Guide:** https://aroundu.in/help/archive-or-delete-unused-templates

#### Before you start

- Permission to manage templates for the correct connected sender.
- Review any campaign/workflow/automatic-event use before retiring a template.

#### Steps

1. Open Templates → WhatsApp → My WhatsApp templates and find the exact template for the current number.
2. Read its approval state, any automatic-use assignment and current message/button configuration.
3. For an approved template you may reuse, choose Archive. Use Restore on that archived template when you want it available again.
4. For a change in wording or URL prefix, choose Customize wording or Create replacement, review the new draft and submit it for Meta approval.
5. Check the replacement's compatibility and assignment before relying on automatic use; an incompatible or unapproved replacement cannot send automatically.
6. Use Delete only for the intended obsolete template. Read the confirmation, including connected-provider removal and assignment warnings, before confirming.

#### Good to know

- Archive is a reversible way to retire an approved template; Delete is a different removal action.
- A new/replacement template needs its own approval. The old approval does not cover new wording.
- An automatic event can use only the fields/buttons it actually supplies. Preserve that mapping when customizing its starter.
- Email saved-template cards also have a delete control. This does not erase recorded campaign history.

#### Troubleshooting

- Archive not shown? The owner-number Archive/Restore action is offered for approved templates.
- Replacement requires a fresh name? Use Create replacement and review the new name before submission.
- Automatic assignment remains on the old template? Review the displayed assignment and clear/change it through the template controls.
- A campaign lost a selectable template? Check whether it was archived/deleted or belongs to another sender before recreating content.

### Schedule one customer's message from their conversation

Open the WhatsApp conversation and expand Schedule a follow-up or reminder. Select the published workflow, review its steps, choose Start at if needed and Confirm schedule. Pro can schedule one reviewed customer message/internal reminder; conditional automatic customer-message rules or AI timing need AI Employee.

**Where to go:** Marketing → Inbox → WhatsApp conversation → Schedule a follow-up or reminder

**Guide:** https://aroundu.in/help/schedule-one-customer-followup

#### Before you start

- Access to the connected conversation and the required workflow/campaign actions.
- A published compatible workflow; a club owner/full-access administrator may need to create it first.
- Approved templates, recipient eligibility and adequate communications funds for customer messages.

#### Steps

1. Open the person's connected WhatsApp conversation and expand Schedule a follow-up or reminder.
2. Choose Select published workflow. If none is available, follow the link to create/publish a scheduled follow-up or internal reminder first.
3. Read the displayed behavior summary. Confirm whether it sends one message, creates an internal task or has automatic no-reply steps.
4. Choose Start at (optional, your local time). Leaving it blank begins enrollment now; step delays and sending hours still apply.
5. Choose Confirm schedule and read the resulting enrolled status.
6. If approval is required, open the run in History/Follow-ups and review its frozen steps before approval. Follow its later status and stop reason there.

#### Good to know

- This enrolls the selected conversation; it is not a broadcast to the whole club.
- An AI auto-reply reacts to an eligible new customer message. A scheduled follow-up uses the reviewed workflow and timing you selected.
- A second conditional customer message and AI-selected timing are AI Employee features even if the first invitation was scheduled manually.
- Replies, bookings, opt-outs, sending hours and human takeover can prevent a pending customer message.

#### Troubleshooting

- Published workflow is disabled for your plan? Choose a supported single scheduled-send/internal task flow or ask an administrator to review the plan.
- Run awaiting approval? Approve the saved steps in History/Follow-ups; Confirm schedule does not bypass the workflow's approval rule.
- No customer message after Mark done? Mark done completes a team reminder; it is not a send action.
- Run stopped or failed? Read its history before scheduling another message to avoid duplicates.

### Triage unread enquiries, assign an owner and save team notes

In Inbox → WhatsApp, use the unread badge and All statuses/Anyone filters to find work. Open the conversation, set Status and Owner, then use Add note about user → Team notes → Save notes. Opening the conversation updates its recorded read state; Resolved is a separate triage status.

**Where to go:** Marketing → Inbox → WhatsApp → conversation header and Add note about user

**Guide:** https://aroundu.in/help/triage-unread-conversations-and-notes

#### Before you start

- Customer/inbox access and the permissions needed to edit the conversation or notes.
- The intended owner must be an available team member for the club.

#### Steps

1. Open Inbox → WhatsApp. Review bold/unread conversation indicators and use All statuses to select Open, Pending or Resolved.
2. Use Anyone, Unassigned or a teammate filter to find the responsible queue, then open the conversation.
3. Read its current messages. Opening it updates the recorded read state; that does not mean the customer has been answered.
4. Set Status and Owner in the header to reflect the actual next action and responsible teammate.
5. Expand Add note about user, enter Team notes describing the relevant discussion or next step, and choose Save notes.
6. Use Customer details & acquisition history for the separate CRM name/qualification fields, then return to the thread to reply when appropriate.

#### Good to know

- Unread, Open/Pending/Resolved and lifecycle qualification represent different facts.
- Team notes are internal and saved in Audience; they are not sent to the customer.
- The current conversation view records opening as read and displays unread badges. It does not provide a Mark unread again control.
- Assigning a human can affect pending automatic-send eligibility; inspect the actual workflow/reply history when taking over.

#### Troubleshooting

- Notes say Audience notes unavailable? Refresh and retry when the notes service is ready; do not assume the unsaved text reached the customer profile.
- Owner not listed? Ask the club owner to check team membership and permissions.
- Read badge cleared but work remains? Use Pending and an Owner assignment so the team has a visible triage state.
- Wrong queue seems empty? Clear status/assignment/search filters before assuming the conversation is missing.

## Campaigns & follow-ups

Prepare, schedule, send and understand results.

### Create a manual email or WhatsApp campaign

Open Marketing → Campaigns and create a campaign. Work through Channel → Audience → Content → Review & send. Email uses an editable subject/message; WhatsApp uses an approved template for the actual sender. Review recipients, content, cost and eligibility, then send or use the available scheduling control.

**Where to go:** Marketing → Campaigns → New campaign

**Guide:** https://aroundu.in/help/create-a-manual-email-or-whatsapp-campaign

#### Before you start

- Pro or AI Employee marketing access and campaign management/send permissions.
- Eligible recipients and actual permission for the channel.
- For owner-number WhatsApp: active default sender, approved template and sufficient communications balance.

#### Steps

1. Open Campaigns and start a new campaign. Choose Email or WhatsApp at Channel.
2. At Audience, choose the intended source groups or selected people and any supported manual recipients. Review the unique-recipient preview after combining sources and removing duplicates.
3. For Email Content, choose a layout/template or write the subject and message, then review supported personalization and links.
4. For WhatsApp Content, select the approved template for the current sender. Fill all required parameters and button destination values. On Pro, you fill these details manually.
5. At Review & send, name the campaign and check recipients, final rendered content, channel and estimated charge. Review the sender/billing checks and any optional delivery-retry controls.
6. Choose Send Now to queue the reviewed campaign, or use Schedule later when the screen offers supported scheduling. Sending is an explicit action.
7. Open the campaign in Campaigns afterward to inspect recorded delivery, failures and engagement.

#### Good to know

- AI Employee preparation is a different flow. A manual campaign remains useful when you already know the exact audience and message.
- The unique-recipient preview can be lower than your selected rows because duplicated or ineligible destinations are excluded.
- Owner-number templates belong to a specific club number; a template approved elsewhere cannot automatically send here.
- Use only recorded facts for personalized fields. Unmapped fields must be fixed before sending.
- If measured-campaign controls are offered, review the protected control group and the outcomes used; attributed bookings alone do not prove incremental lift.

#### Troubleshooting

- Audience check failed? Use Retry and wait for a valid preview before sending.
- Sender check failed or sender blocked? Open Settings and restore the eligible default sender; the system may deliberately avoid falling back to AroundU's number.
- No approved WhatsApp template? Create and submit one in Templates, then wait for approval.
- Insufficient credits or billing setup required? Open Balance (or Credits before connection) and review/recharge the communications balance.
- Submission could not be confirmed? Check Campaigns before pressing send again. Use the recorded submission recovery guidance.

### Schedule a campaign and retry temporary delivery failures

For a supported connected-number WhatsApp campaign, use Review → When to send → Schedule later and choose a time up to 30 days ahead. Temporary delivery failures can use the reviewed retry policy. After a campaign, open Retry failed recipients on the original campaign rather than duplicating the whole send.

**Where to go:** Campaign review → When to send; campaign details → Retry failed recipients

**Guide:** https://aroundu.in/help/schedule-campaigns-and-retry-delivery

#### Before you start

- Campaign send access, a supported connected WhatsApp sender and valid billing setup.
- An eligible temporary-failure preview for recovery. Delivered messages are not a new recovery audience.

#### Steps

1. Create and review the campaign first. In When to send, select Schedule later if the current channel/sender supports it.
2. Choose Date and time in the timezone shown by the field. Set a future time within the 30-day scheduling window.
3. Review the saved audience/message and estimated cost. Scheduling reserves the estimated cost now; sending begins at the selected time and delivery can take longer.
4. If enabling Delivery retries, choose the retry window, maximum retries per person, time in IST and weekdays. Review the maximum shown by the screen.
5. Choose Schedule Campaign. Open its details later to verify the scheduled send time and current status.
6. For eligible failures after sending, open the original campaign → Retry failed recipients → Configure retry. Review the eligible/excluded counts, retry rules and maximum reservation, then Schedule retries for the displayed recipients.
7. Check retry progress and final failure reasons in the campaign. Use an uncertain submission's recorded status before making another request.

#### Good to know

- Retries apply to confirmed temporary failures, at least 12 hours apart, at the selected eligible time/weekday.
- The current UI supports retry windows and maximum retries up to seven, subject to the sender's effective allowance.
- Delivered messages are charged once; unused funds are released when retries finish.
- A scheduled audience is saved now. It is not a promise to add every contact imported between now and the send time.
- Duplication is for preparing a new campaign, not recovering failed deliveries on the old one.

#### Troubleshooting

- Schedule later absent? The current manual scheduling control is offered for connected-number WhatsApp campaigns; do not assume every channel/sender supports it.
- Scheduled time rejected? Use the timezone shown, a valid future time and the displayed maximum date.
- Recovery not priced? Restore WhatsApp billing configuration before trying to reserve funds.
- Recovery request active or unconfirmed? Refresh the original campaign before submitting another request.
- Some failures are excluded? Review the reason; opt-outs, invalid contacts, permanent failures and already successful deliveries must not be resent as though they were temporary failures.

### Read campaign delivery, engagement, spend and revenue

Open the campaign in Campaigns to inspect recipients, delivery/read states, clicks, button responses and failures. AI campaigns additionally show revenue evidence where supported: Direct, Assisted and Unattributed. These totals describe attribution; they do not establish incremental lift without a valid control.

**Where to go:** Marketing → Campaigns → campaign details; AI Employee → Campaigns & revenue

**Guide:** https://aroundu.in/help/read-campaign-results-and-revenue

#### Before you start

- Permission to inspect campaigns and analytics.
- AI Employee campaign access for its AI revenue evidence surface.
- Provider experiences and eligible booking/payment evidence for the specific metrics.

#### Steps

1. Open the campaign from Campaigns, or the relevant AI campaign from AI Employee → Campaigns & revenue.
2. Review the summary counters. Sent to WhatsApp, Delivered and Read represent different observed states; a queued message is not confirmed delivery.
3. Search recipients by name/phone and filter delivery status, including Failed and Retry scheduled. Open failure details or retry progress where present.
4. Review Clicked and button responses. Click tracking requires the tracked link; a direct destination may not have recipient click evidence.
5. Open the financial summary to distinguish reserved usage, settled charges and released funds. Review report-email controls if you need a permitted campaign report.
6. For supported AI campaign revenue, inspect Direct, Assisted and Unattributed and open Follow the evidence. Read missing identity/session coverage and refund notes.
7. Use Inbox to read actual customer replies and Follow-ups for work requiring a team decision. Review any control-group report separately before interpreting lift.

#### Good to know

- Direct/assisted revenue needs evidenced links between the campaign, recipient, message, checkout, booking and payment. Missing linkage remains unknown.
- Revenue evidence excludes free registrations and external booking sales. You cannot assume an external checkout paid merely because the customer clicked.
- Refunds are deducted when the ledger can value them. Do not add overlapping attribution categories across separate campaigns.
- An unavailable metric is not the same as zero.
- The campaign detail screen can show a report-email form; automatic AI campaign result emails require the applicable active AI access.

#### Troubleshooting

- No recipient details recorded? Review the campaign's recorded failure count and ask support with its campaign ID; do not assume a blank table proves success.
- Read/click totals are missing? Check that provider experiences or link tracking exist; do not invent engagement from a sent count.
- Revenue unavailable or identity coverage incomplete? Read the stated evidence gap and refresh after upstream data becomes available.
- A delivery remains uncertain? Inspect history before creating another send or call.
- An external checkout lacks payment evidence? Use that provider's actual payment records; current campaign attribution cannot prove it automatically.

### Design an email with your images, message and booking button

In an Email campaign's Content step, write the Subject line and open Design your email. Choose a starting layout, add sections, upload images and set the Button destination. Use the desktop and mobile Live preview and resolve Before sending issues before reviewing the campaign.

**Where to go:** Marketing → Campaigns → New Campaign → Email → Content

**Guide:** https://aroundu.in/help/design-email-with-images-and-buttons

#### Before you start

- Pro or AI Employee marketing access and permission to prepare campaigns.
- Accurate message content and working image/button links.

#### Steps

1. Open an Email campaign's Content step. Choose a saved template if helpful, then enter the Subject line.
2. In Design your email, choose a starting layout or add your first section. Choosing a new layout replaces the current design, so review that choice first.
3. Use Add a section to insert a heading, text, Image / logo, Button or another available section. Select a section to edit its content in Section.
4. For an image, use Upload image / logo or Image URL. Add an Image description for readers whose email app does not load the picture, and adjust Image width.
5. For the booking button, enter a clear Button label and the correct Button destination. Fill any required experience-detail fields used by the message.
6. Open Brand & layout to adjust colors, font and Inbox preview text. Reorder sections by dragging or with the up/down controls; use Undo/Redo for recent changes.
7. Switch Live preview between desktop and mobile. Review the sample recipient and the Before sending notices, then return to Review & send to inspect the actual campaign audience and content.

#### Good to know

- The current image upload accepts PNG, JPEG, WebP or GIF files smaller than 5 MB.
- The preview uses sample personalization. Check that the campaign has the real information needed by every field.
- Email apps can render small differences; a team-only real test is useful for an important layout.
- The HTML tab is available for users who need to edit the email source, but the visual Design view is enough for ordinary changes.

#### Troubleshooting

- Image upload failed? Check its format/size and try again or paste a working image URL.
- A button points to the wrong page? Select the button section and correct Button destination before sending.
- The subject or content has an unfilled field? Fill the matching experience details or choose a supported personalization field.
- A layout replaced your work? Use Undo when available, or reopen the saved template/draft before making more changes.

### Check a campaign with a small team-only send

Preview the message, then select only agreed team test contacts in Audience and choose Create Campaign. Verify that Review & send lists only those people before Send Now. This is a real campaign, with normal eligibility and usage charges; the current composer does not provide a separate Send test shortcut.

**Where to go:** Audience → Contacts → People → selected team contacts → Create Campaign

**Guide:** https://aroundu.in/help/test-a-campaign-with-your-team

#### Before you start

- Campaign-send permission and the plan/channel setup required for a normal send.
- A few team contacts with valid channel addresses and permission to receive the test.
- For WhatsApp, an approved template and adequate communications balance.

#### Steps

1. Prepare the message and inspect its live preview, all required fields, images and button destinations.
2. Open Audience → Contacts → People and select only the agreed test contacts. If a tester is missing, add/import their real contact details through the permitted audience tools first.
3. Choose Create Campaign for those selected people. Use a name that clearly identifies the test and choose the intended channel/content.
4. At Review & send, check the unique-recipient count and selected sources carefully. Remove broader groups if they were added; the test should contain only the intended team contacts.
5. Review the cost and channel eligibility, then choose Send Now only when ready for the real small send.
6. Have the testers inspect the delivered content, personalization, images and booking button. Open the campaign details to compare recorded delivery/read/click states and inspect any failures.
7. Correct the main campaign separately before its final authorization; a successful small test does not prove every customer will receive the message.

#### Good to know

- Previewing does not send a message. Send Now queues a real campaign.
- A test campaign can use normal communications credits and counts toward applicable messaging limits.
- For WhatsApp, a team test still needs the approved template for the actual connected number.
- Opening a booking button is enough to inspect its destination; only complete a real booking/payment if that separate action is intended.

#### Troubleshooting

- The composer has no direct email-address test box? Select the recorded team audience contacts and create the campaign from that selection.
- The preview says Alex or another sample name? That is sample personalization; inspect the real tester's delivered message as well.
- Test submission unconfirmed? Check Campaigns before pressing Send Now again.
- No delivery despite a queued campaign? Inspect the recipient failure reason and connection/balance status rather than assuming the layout is the cause.

### Choose the right campaign audience and check exclusions

In the Audience step, choose the intended groups or begin from selected People. Review the unique-recipient preview after duplicates and ineligible destinations are removed. WhatsApp Add numbers manually accepts campaign-only numbers with explicit permission. Imports, bookings and joins do not automatically grant marketing permission.

**Where to go:** Campaign composer → Audience → Who are you sending to?

**Guide:** https://aroundu.in/help/choose-campaign-audience-and-confirm-permission

#### Before you start

- Permission to view customers and send the selected campaign.
- Actual channel permission from the intended recipients.
- Valid email or phone details and a successfully checked audience preview.

#### Steps

1. Choose the intended source groups in Who are you sending to? Read whether each card is Community members, Saved audience list, Imported contacts or Past event attendees.
2. For a precise subset, first filter/select People in Audience and choose Create Campaign from that selection.
3. For WhatsApp campaign-only additions, open Add numbers manually and paste one number per line or comma-separated numbers. Correct every reported invalid entry and review the unique-number count.
4. Confirm the displayed permission statement only when those people actually agreed to the channel messages.
5. Wait for the combined unique-recipient preview. If it fails, use Retry before authorizing the send.
6. At Review & send, recheck the final count, sources and any protected control group. For AI campaigns, inspect the recipient reasons, exclusions and recorded permission counts as well.

#### Good to know

- A person can belong to several lists; selected card counts are not added blindly into the final recipient count.
- Manually pasted numbers are used for this campaign; the screen does not describe this as importing a reusable customer database.
- 10-digit Indian numbers are supported; use +country code for other countries.
- Suppression, opt-outs, missing channel details and other eligibility checks remain applicable even after you select a person.
- AI cannot manufacture marketing permission or infer it from a booking, sign-in or import.

#### Troubleshooting

- Invalid manual numbers prevent progress? Correct or remove them rather than counting them as recipients.
- Fewer eligible recipients than selected? Review the actual duplicate/exclusion reasons; do not assume the system lost your audience.
- An AI campaign has no eligible recipients? Inspect relevance and recorded permission, then prepare a narrower supported audience.
- Audience preview unavailable? Wait for a successful check; a source-group count alone is not send eligibility.

### Set email branding and choose where customer replies go

Open Settings → Email → Email branding. Set From name, Reply-to email, Brand logo URL and Custom footer line, then Save email branding. A blank Reply-to email routes replies to AroundU's Email Inbox; a custom address routes them there instead. The screen describes branding for transactional emails on your custom domain.

**Where to go:** Marketing → Settings → Email → Email branding

**Guide:** https://aroundu.in/help/set-email-branding-and-reply-destination

#### Before you start

- Permission to manage email settings for the club.
- A working reply mailbox when using a custom Reply-to email.
- Verified custom email-domain setup for the Strip AroundU branding option to take effect.

#### Steps

1. Open Settings → Email and find Email branding.
2. Set From name to the name customers should recognize.
3. Choose Reply-to email deliberately: leave it blank for AroundU's Email Inbox, or enter the custom mailbox where your team will handle those replies.
4. Enter Brand logo URL or leave it blank to use the club profile photo. Add the desired Custom footer line.
5. If using Strip AroundU branding from emails, review the domain verification requirement shown beside it.
6. Choose Save email branding. Inspect a relevant confirmation/reminder/receipt received by your team to verify the result and reply destination.

#### Good to know

- This settings card describes transactional confirmations, reminders and receipts. Design a marketing campaign's own images and layout in its email designer.
- Entering a custom reply address changes where replies go; it is not a second copy delivered to AroundU Inbox.
- Removing AroundU branding takes effect only after the custom domain's required email records are verified.
- A visible From name is different from authorizing a new sending domain.

#### Troubleshooting

- Customer replies missing from AroundU Inbox? Check whether a custom Reply-to email routed them elsewhere.
- Logo missing? Check the image URL or the club profile photo used as the fallback.
- Branding still includes AroundU? Review the domain's email verification status; toggling the checkbox alone is insufficient.
- Settings did not save? Refresh the current values and check your settings permission before retrying.

### Reopen a draft or duplicate a campaign for a new send

Open a draft campaign in Campaigns to return to its composer. For a copy, use the row's three-dot menu → Duplicate; the copy opens ready to edit. Review the audience, template and timing again before a new send. The current manual campaign row menu does not offer Archive, Delete or Cancel.

**Where to go:** Marketing → Campaigns → draft or three-dot menu → Duplicate

**Guide:** https://aroundu.in/help/edit-a-draft-or-duplicate-a-campaign

#### Before you start

- Permission to prepare the club's campaigns.
- A draft or existing campaign that you can access.
- A separate final send authorization for any copy.

#### Steps

1. Open Campaigns and select the draft you want to continue. A saved draft opens the composer; a sent campaign opens its recorded results.
2. To reuse an existing campaign, open its three-dot menu and choose Duplicate. The copy opens ready to edit.
3. Rename the copy and review its audience. Correct stale experience dates, prices, links, sender and template choices.
4. Review the message and all required fields. If the previous WhatsApp template is no longer eligible, select a currently approved one.
5. Check timing and retry settings. Review & send is still required; duplicating a campaign does not send it automatically.
6. If you are recovering failed deliveries, return to Retry failed recipients on the original campaign instead of sending the whole copy to its old audience.

#### Good to know

- The composer preserves some unsent work in the same browser. Do not assume those local edits are available on another device or after clearing browser storage.
- A copy is a new campaign. The original results remain separate.
- Archive/Delete controls in Templates affect templates; they are not campaign-history removal controls.
- AI campaigns have their own Cancel campaign/Take over controls when available. That is a different workflow from the manual campaign row menu.

#### Troubleshooting

- Draft changes missing on another device? Check the original browser and the saved campaign before recreating a send.
- No Archive/Delete/Cancel in the manual row menu? Those actions are not exposed in the current list. For an already scheduled urgent send, contact support with its campaign reference rather than using an unrelated template-delete action.
- Copy cannot send with the old template? Check approval, archive state and the current sender.
- Submission uncertain? Inspect the recorded campaign/submission notice before opening a second composer and sending again.

### Email campaign results or enable automatic AI reports

Open campaign details → Email campaign results, enter Recipient email or leave it blank for your account email, then Email results. AI Employee can also enable Automatically email AI campaign results in report settings. Reports contain aggregate results and a dashboard link rather than customer contact lists.

**Where to go:** Campaign details → Email campaign results; Settings → campaign report emails

**Guide:** https://aroundu.in/help/email-campaign-results-and-automatic-reports

#### Before you start

- Permission to inspect the campaign and request its report.
- Active AI Employee access and settings permission to enable automatic AI reports.
- A valid recipient email when one is entered.

#### Steps

1. Open the manual or AI campaign's results and find Email campaign results.
2. Enter Recipient email (optional), or leave it blank to use your account email. Choose Email results.
3. Read the resulting queued/provider status. Use Refresh report status to inspect its recorded outcome.
4. If submission was unconfirmed, use Retry report request with the same address to reuse that request instead of creating a duplicate.
5. For automatic AI reports, open Review report email settings. Enable Automatically email AI campaign results, enter Additional report recipient and Save report email settings.
6. For a failed report, use Retry this report when offered. For an unknown outcome, check the mailbox first and acknowledge the possible duplicate before retrying.

#### Good to know

- Reports are snapshots; later delivery receipts can change the dashboard's results.
- They exclude customer names, phone numbers and email addresses. A report is not a customer export.
- Provider accepted does not confirm that the email reached the recipient's inbox.
- Automatic reports cover AI email/WhatsApp campaigns and automatic experience launches. Manual campaigns use their Email results control.
- Turning automatic reports off remains available when enabling them is no longer included in the active plan.

#### Troubleshooting

- No email received yet? Check the report status and mailbox/spam folder; distinguish queued, accepted and unknown outcomes.
- Unknown outcome? Check the mailbox before requesting another snapshot or retry.
- Automatic report switch disabled? Check active AI Employee access and your settings permission.
- Permission/settings could not refresh? Keep the current request reference and refresh before submitting a second report.

## Offers & coupons

Customer discounts, promotional codes and choosing the right offer.

### Create experience offers and coupon codes

Open Offers & Coupons in a paid experience, choose an automatic offer or coupon, and set the discount and eligibility. Coupon codes must be at least six characters; percentage discounts must be between 1 and 100.

**Where to go:** Paid experience admin → Growth & Revenue → Offers & Coupons

**Guide:** https://aroundu.in/help/event-offers-and-coupons

#### Before you start

- Manage a paid experience.
- Decide the discount amount, eligible audience/group and any validity choices.

#### Steps

1. Open the paid experience's admin dashboard and choose Offers & Coupons.
2. Choose whether to create an automatic offer or a coupon entered by the customer.
3. Enter the offer name and required fields. For a coupon, use a code of at least six characters.
4. Choose a percentage or fixed-amount discount. A percentage must be from 1 to 100; a fixed discount must be positive and cannot exceed the price.
5. Choose the available eligibility segment and any group-size conditions. Check validity settings before creating the reward.
6. Create the offer or coupon, then review it in the list. Copy the coupon code for customers if needed.
7. Test the relevant customer/ticket/group selection at checkout to confirm the intended discount appears.

#### Good to know

- Automatic offers and coupon codes are different customer experiences; a coupon requires the code to be supplied.
- An experience coupon discounts an attendee booking. It is separate from a club subscription offer or subscription coupon.
- Eligible segments include the options actually shown in the editor, such as first-time joiners, frequent joiners, club members, couples and group sizes.

#### Troubleshooting

- The coupon will not save: supply every required field and check the code length and discount range.
- The customer gets no discount: check the code, ticket price, eligibility segment, group size and validity choices.
- A fixed discount exceeds the price: reduce it or choose the correct eligible price.

### Create a promo coupon with a redemption limit

Open Offers & Coupons, choose Promo Coupons, enter Coupon Name and Coupon Code, choose Flat or Percentage, set the discount and optional Total Usage Limit, then create the coupon. Copy the code from its card for customers.

**Where to go:** Paid experience admin → Offers & Coupons → Promo Coupons

**Guide:** https://aroundu.in/help/create-experience-coupon-code

#### Before you start

- Club organizer access to a paid experience.
- An intended discount and, if needed, a positive total usage limit.
- A coupon code with at least six characters.

#### Steps

1. Open the paid experience admin dashboard and choose Offers & Coupons. The page is titled Benefits & Discounts.
2. Choose Promo Coupons to open Create Promo Coupon.
3. Enter Coupon Name. Review the generated Coupon Code or enter your own code of at least six characters; Regenerate creates another suggested code.
4. For a percentage recipe, choose Percentage and enter 15 in Percent to Deduct (%) for a 15% coupon. For a fixed reduction, choose Flat and enter the amount in Amount to Deduct (₹).
5. Set Total Usage Limit when the code should have a cap. Leave it empty for unlimited usage.
6. Choose Create Coupon and inspect its card. Click the code to copy it, then share it with customers for the checkout coupon field.
7. To stop offering that coupon, use the card's trash control and confirm Delete this benefit. The current card has deletion rather than an edit or pause control.

#### Good to know

- Saved codes use uppercase with spaces removed, so share the saved code from the card.
- Percentage discounts must be positive and no more than 100. A flat discount must be positive and smaller than the experience price checked by this form.
- The card shows Redemptions against Total Usage Limit. A multi-seat checkout can consume more than one use, and an approved unpaid request may temporarily hold coupon capacity.
- This creation form has no coupon start/end-date controls. Ticket Sale Validity Window controls ticket availability; it is not a coupon expiry setting.

#### Troubleshooting

- Creation is blocked: complete the name, code and discount, and check code length and the discount range.
- A customer cannot use the code: check the saved code, remaining usage allowance and current checkout price.
- You need to change the discount: there is no edit control on the card. Create the correct coupon and remove the old one after reviewing any outstanding discounted links.
- The coupon should apply automatically without entry: create an Automatic Offer instead.

### Create an automatic discount for eligible customers or groups

Choose Automatic Offers in Offers & Coupons, set the offer name and discount, then choose the customer or group conditions. Multiple selected conditions match any one condition; use one condition when you need a strict group-size recipe.

**Where to go:** Paid experience admin → Offers & Coupons → Automatic Offers

**Guide:** https://aroundu.in/help/create-automatic-experience-offer

#### Before you start

- Manage a paid experience.
- Know the discount and the exact customer or group rule you intend to apply.

#### Steps

1. Open Offers & Coupons and choose Automatic Offers to open Create Automatic Offer.
2. Enter Offer Name. Choose Flat or Percentage and enter the amount or percentage to deduct.
3. Under Who gets this?, choose the relevant customer options such as All users, First-time joiners, Frequent joiners or Club members.
4. For a group recipe, choose the relevant group option. Couples targets two slots; Minimum Group Size requires the minimum number; Specific Slot Counts requires adding the exact allowed counts.
5. For an offer intended only for a minimum group of four, select Minimum Group Size and enter 4 without selecting unrelated conditions.
6. Review all selected conditions before creating the offer. Any one selected condition can qualify a booking; combining First-time joiners with Couples does not require both to be true.
7. Choose Create Offer, inspect its eligibility labels and test the intended customer/seat selection in checkout. No coupon code is required.
8. To remove the offer, use the card's trash control and confirm the deletion. There is no edit or pause control on the current card.

#### Good to know

- All users makes the offer broadly available. Selecting another condition removes that default in the editor.
- Specific Slot Counts is an exact-count condition; choosing 2 and 4 does not automatically cover 3.
- The current automatic-offer form does not provide start/end-date fields. Use the controls it offers rather than treating a name such as Early bird as a timed rule.
- Membership discount passes do not combine with other offers; review which benefit the customer selects.

#### Troubleshooting

- The offer reaches more customers than intended: check for additional selected conditions because qualification uses any one of them.
- The group does not qualify: inspect the actual selected seats and whether you chose a minimum or an exact-count rule.
- You need a combined rule requiring all conditions: the current editor does not provide that combination. Contact support before publishing a broader offer.
- You need to change the saved rule: create the corrected offer and remove the old one after reviewing its use.

### Create the right offer, coupon or subscription deal

For a discount applied at experience checkout, create an Automatic Offer. For a code customers enter, create a Coupon Code. For a negotiated AroundU subscription price, authorized AroundU staff create a prepaid offer in Admin → Subscriptions & links. These are separate tools with different permissions and payment outcomes.

**Where to go:** Experience admin → Coupons / Offers, or AroundU Admin → Subscriptions & links

**Guide:** https://aroundu.in/help/offers-coupons-and-subscription-deals

#### Before you start

- Access to the experience's offer controls for customer discounts.
- An authorized AroundU staff account for negotiated platform subscription offers.

#### Steps

1. Decide what the offer should change: an experience booking price or the organizer's AroundU subscription.
2. If an eligible customer should receive a checkout discount automatically, open the experience's Coupons / Offers area and create an Automatic Offer.
3. If customers should enter a promotional code, create a Coupon Code for the experience, review its amount and usage limit, and share that exact code.
4. If you are AroundU staff selling a custom subscription deal, open Admin → Subscriptions & links and use Create payment link. Select the intended club, plan, total prepaid base price, duration and expiry.
5. Review the selected tier separately from the custom price. A discounted Pro offer still grants Pro; it does not become AI Employee because the price was negotiated.
6. Use the matching detailed guide below before creating or distributing the offer.

#### Good to know

- An experience coupon does not discount the organizer's AroundU subscription.
- Subscription checkout can offer a separate coupon or referral flow where available; it is not the same as an experience coupon.
- A campaign message can mention an offer, but the message alone does not create the discount.

#### Troubleshooting

- If you cannot find Create payment link, verify you are in AroundU's internal admin workspace with the required staff permission.
- If a booking code fails, check the experience, exact code and remaining usage before creating another code.
- If you need to change a negotiated subscription offer, check which controls are available and prepare a replacement with the correct plan rather than assuming the saved offer has changed.

## Polar & AI Employee

Business questions, AI preparation and permitted automation.

### Ask AI Employee to prepare an email or WhatsApp campaign

Open AI Employee → Campaigns & revenue and describe the purpose, such as filling an experience or following up with relevant customers. Polar prepares the audience, reasons and channel message. Review any missing facts, recipient eligibility and cost, then authorize Review or Autopilot with a budget and deadline.

**Where to go:** Marketing → AI Employee → Campaigns & revenue

**Guide:** https://aroundu.in/help/prepare-an-ai-employee-campaign

#### Before you start

- Active AI Employee access, or AI access included with Enterprise, plus customer-viewing and campaign permissions.
- Recorded audience evidence and marketing permission for the selected club/channel.
- Verified experience or external-experience facts and eligible email/WhatsApp delivery setup.
- Access as a club owner or full-access administrator to the current AI Employee workspace.

#### Steps

1. Open AI Employee → Campaigns & revenue. Choose Email or WhatsApp and describe the campaign's actual purpose and useful context.
2. Select the AroundU experience when relevant, or supply confirmed external-experience details. Choose the required destination action and exact link.
3. Review how recipients may be selected: relevant club audience, past customers, filtered audience or specific named contacts. Provide true relationship/context details when requested.
4. Prepare the campaign and inspect Who Polar selected, recipient reasons, filters and exclusions. Answer Needs input questions rather than allowing missing experience facts to be guessed.
5. Review the email subject/message or WhatsApp template, verified parameter values, price treatment and destination. Review existing consent evidence or record actual proof through the permitted controls.
6. Choose Review or Autopilot, a maximum budget and a deadline. Read the exact authorization before confirming. WhatsApp Autopilot uses approved marketing rules/templates; new wording and unsupported cases may require review.
7. Track the saved campaign's approval/provider/balance states, decisions and results. Take over in Review mode or pause campaign sending through the available controls when needed.

#### Good to know

- No Meta ad campaign is needed for email/WhatsApp work on your existing eligible audience.
- The campaign can prepare an assisted re-engagement send. Do not confuse it with a separate autonomous past-customer reactivation loop.
- Imported contacts and enquiries can be considered when their relevance and permission are recorded; importing or buying alone does not make them eligible.
- Email does not use WhatsApp template approval or the WhatsApp wallet. Its provider configuration and usage are separate.
- AI Employee does not promise additional bookings or create cold leads. You review actual selected recipients and outcomes.

#### Troubleshooting

- Needs input? Provide the missing confirmed experience, price, relationship or destination facts and continue the saved work.
- Fewer eligible people than requested? Review the shortfall and exclusions. The system does not silently relax filters or add unrelated people.
- Waiting for wallet or pricing? Restore the shown WhatsApp funding/billing condition; Review mode may require final send approval after top-up.
- Template rejected? Read Meta's reason and the available revision/review options; do not assume a category or approval outcome.
- Paused by changed access, limits or inventory? Review the saved campaign and current conditions before resuming.

### Set up AI marketing for new experience launches

Open AI Employee → New event launch, enable experience engagement and save the channel, Review/Autopilot mode, audience and batch/budget limits. Buying AI Employee alone does not enable sending. Polar checks eligible published experiences and prepares bounded batches; unknown inventory or unsupported cases pause for review.

**Where to go:** Marketing → AI Employee → New event launch

**Guide:** https://aroundu.in/help/launch-new-event-marketing-with-ai

#### Before you start

- Active AI Employee access and the customer-viewing, campaign and settings permissions required for the launch.
- An eligible published future experience with supported recorded inventory.
- Eligible audience evidence, channel permission and operational delivery/billing.
- Access as a club owner or full-access administrator to the current AI Employee workspace.

#### Steps

1. Open AI Employee → New event launch, or Settings → AI replies & campaign limits → Manage house launch defaults.
2. Enable Let AI Employee check events and prepare engagement campaigns. Decide whether to include eligible experiences already published that are still upcoming.
3. Choose WhatsApp or Email and Review every batch or Autopilot within saved rules. Choose Past customers only or Relevant house audience only when you authorize that broader eligible audience.
4. Set maximum contacts per batch, maximum batches per experience, total experience campaign budget and wait between batches. Add accurate message instructions.
5. Read the authorization checkbox and save the rules. When setting up a newly created experience, Save rules & prepare this event enrolls that experience under the reviewed settings.
6. Publish an eligible future experience or review the enrolled experience's launch status. Open Review batch & results to inspect its audience, campaign and outcome.
7. Use Pause launch or Stop future batches if needed. Review Why Polar made each decision for stop/pause/expansion reasons.

#### Good to know

- The current UI bounds each batch to at most 500 contacts and experience launches to at most 10 batches; lower saved limits still apply.
- Launch defaults are off until authorized. A shared monthly campaign limit can further constrain individual campaigns and launches.
- WhatsApp Autopilot reuses approved templates; new wording needs review. Email Autopilot can use factual reviewed context within the saved rules.
- No discounts are invented. Events with unknown inventory or unsupported multiple occurrences pause for review.
- Editing or republishing the same experience does not create an unlimited set of fresh launches.

#### Troubleshooting

- Event launch not enrolled? Ensure the experience is published with a future date and launch rules were enabled/saved. Inquiry forms are not experience-launch targets.
- Waiting for audience synchronization? Finish/review the customer-history reconciliation before relying on selection.
- Inventory unknown or full? Review experience capacity; no further batch should be assumed eligible.
- Launch has earlier saved rules? Review its existing authorization/campaigns rather than assuming new defaults overwrite already authorized work.
- Pause cannot recall provider-submitted messages. Stop prevents future batches; existing provider delivery can still complete.

### Configure, test and enable AI customer replies

Open Settings → AI replies & campaign limits → customer reply setup. Add trusted FAQs/club answers, save and preview representative questions, then choose Draft review or Automatic when the account supports it. Automatic replies need AI Employee, an explicit club setting and a supported open conversation; uncertain or sensitive questions go to a person.

**Where to go:** Marketing → Settings → AI replies & campaign limits → customer replies

**Guide:** https://aroundu.in/help/configure-ai-customer-replies

#### Before you start

- Active AI Employee access and permission to manage reply settings for this club.
- Connected eligible channel, trusted published experience facts and approved club answers.
- Automatic replies must be available for your club and explicitly enabled.

#### Steps

1. Open the AI replies settings. Start with Off or Draft review while preparing trusted knowledge.
2. Add or edit Profile FAQs with exact answers. Use the available guided knowledge setup or reviewed experience library when appropriate, and choose how you want the assistant to speak using the reply persona fields.
3. Save changes. Published AroundU experience details are available automatically; review any additional external-experience records before using them as answers.
4. Preview realistic questions about prices, dates, venue, rules and normal conversation. Check the information used in each answer and when it asks a person to help; preview does not send a customer message.
5. Select Draft review to prepare answers for an administrator, or Automatic only when available and tested. Enable the explicit automatic-reply permission if the screen prompts for it.
6. Review customer drafts and handoffs from the supplied review link or Follow-ups → Customer replies needing attention. Use Inbox when a person needs to take over.
7. For WhatsApp registration, separately configure the experience's guest list/registration rules in its operations page, then enable Allow guests to register through WhatsApp. The customer initiates registration and confirms before submission; automatic replies must also be enabled.
8. Use Off to stop AI replies for this club whenever needed. Campaign pause controls are separate from reply mode.

#### Good to know

- The FAQ editor accepts up to 50 approved club answers; use enabled/paused and expiry controls to keep them accurate.
- Buying AI Employee does not switch replies on. The default club reply mode is Off.
- Automatic mode covers safe greetings, thanks, normal conversation and supported questions; it does not invent club claims or make sensitive decisions.
- Registration permission is separate from automatic replies and from the experience's own guest-list setup.

#### Troubleshooting

- Automatic sending unavailable? Use Draft review and ask support to check availability for the account/environment.
- Answer unsupported or low confidence? Add the actual trusted information or let a person handle the question; do not force an invented answer.
- Cannot preview after editing? Save changes first.
- Bot is silent? Check reply mode, automatic-reply permission, your active plan, the reply window and any displayed limit or handoff reason.
- Registration not starting? Check the selected experience's rules, registration permission and customer-initiated request; enabling the general bot alone is insufficient.
- Do not confuse an AI reply follow-up with the separate template workflow rules or all-campaign pause.

### Use Polar for club questions and permitted preparation

Open Polar while you are in the relevant club or experience workspace and ask a concrete question. Pro includes 50 factual questions per month; AI Employee includes 200 shared queries with preparation and permitted actions. Review any proposed action and its required approval before it executes.

**Where to go:** Contextual Polar drawer from your club or experience workspace

**Guide:** https://aroundu.in/help/use-polar-for-business-questions

#### Before you start

- An eligible subscribed club and permitted access to its records.
- Pro for factual assistance; AI Employee for ongoing template/audience/parameter preparation and execution.
- Remaining team-shared monthly query allowance.

#### Steps

1. Open the club or experience you want to discuss, then open the floating/contextual Polar drawer. Polar is no longer a Marketing tab.
2. Ask a specific question, such as which attendees have repeated, why recorded performance changed or what the selected experience's funnel shows. Include the experience or period when relevant.
3. Read the answer's evidence and coverage. Ask a follow-up if a metric, source or missing information needs clarification.
4. On AI Employee, describe the preparation you want: for example, prepare an audience/message for the selected experience. Review proposed people, reasons, content and missing facts.
5. For an action, inspect its exact confirmation or saved campaign authorization. Approve only the reviewed action; otherwise cancel or refine it.
6. Check the usage indicator and continue work in the linked manual or AI campaign surface when Polar hands it back to you.

#### Good to know

- Pro questions cannot execute work, create ongoing AI templates, prepare campaign audiences or fill experience parameters. Pro's one free template draft is a separate Templates trial.
- The 50/200 allowance is shared by the club team and resets at the start of the month in India time.
- One submitted query or AI campaign Try counts once across its internal model calls. Technical failures are refunded; approvals/revisions do not add another query charge.
- Polar's customer access follows the user's permitted context. It should describe unknown data rather than guessing demographics.
- A recommendation is not automatic approval or a guarantee of performance.

#### Troubleshooting

- Polar requires a subscribed club? Open its club workspace on the web rather than an individual-only context.
- Pro action blocked? Use the manual tools or upgrade to AI Employee for that preparation/action.
- Limit exhausted? Inspect the usage indicator and shared team allowance; an unrelated teammate may have used queries in the same club.
- Wrong club or experience context? Close/reopen from the intended workspace and name the experience explicitly.
- An action waits for confirmation? Review its pending action or linked saved campaign rather than assuming it ran.

### Prepare, launch and review an eligible AI call campaign

Open Marketing → AI calls, choose a published upcoming experience and reviewed call script, select contacts with valid call consent and preview eligibility/cost. Launch only when calling is enabled and the reviewed confirmation is ready. Human review and callback work appear in the call review and Follow-ups; messages are not automatically sent from call outcomes.

**Where to go:** Marketing → AI calls

**Guide:** https://aroundu.in/help/prepare-and-review-ai-calls

#### Before you start

- A plan that includes AI calls and the required campaign permissions. Check AI calls in your club before relying on calling availability.
- Calling must be connected and live campaigns enabled for your club.
- A published upcoming experience, a ready approved script, valid promotional-call consent and sufficient communications funding.

#### Steps

1. Open AI calls and verify whether AroundU calling is currently available. Choose the experience the calls concern.
2. In Call script, select an approved ready script or create a draft with agent identity, objective, questions, tone and boundaries. Choose the reviewed actions for interest, callback and unresolved questions.
3. Save script to check it, then Run five safety checks with fictional guests. Read all five conversations, check facts/disclosure/opt-outs/behavior and Approve and use for campaign when satisfied.
4. Enter the campaign details and where valid Call consent was collected. Select the intended contacts; known opt-outs, invalid numbers, duplicates and missing consent are excluded.
5. Preview the launch and read eligible count, maximum cost, selected script/experience and consent details. Complete the final confirmation only when the saved request still matches the preview.
6. Launch using the explicit available confirmation and monitor Call campaigns. If submission is unconfirmed, refresh history before creating more calls.
7. Open Review outcomes and call quality. Read an audited transcript or the provider recording, flag concerns and Save human review.
8. Open Follow-ups for interested customers, callbacks or unresolved questions. Review and schedule any actual next contact separately.

#### Good to know

- The five script checks are sample conversations, not live phone calls or live audio. Current checks expire after seven days.
- The campaign retains the script revision approved at launch.
- Calling usage is separate from the subscription. Review the current displayed rate and maximum reservation; settled usage is based on connected seconds and unused funds are released.
- A callback task is not an automatic callback, and an interested outcome does not itself send a WhatsApp message.
- For a serious issue, pause queued calls in the provider and retire the script revision; merely flagging a review does not stop an in-progress call.

#### Troubleshooting

- Calling connected but live campaigns inactive? Ask AroundU support to confirm that live calling is available for your club. You can prepare a script while launch is disabled.
- No experiences? Publish a suitable upcoming experience before creating the call campaign.
- A script check did not finish? Run the remaining checks; do not approve from incomplete trials.
- A prior launch is unconfirmed? New calls pause to avoid duplicates. Refresh campaign history or contact support before retrying.
- No call outcomes after calls finished? Refresh outcomes and ask AroundU support to check whether call results are reaching your account. Queued calls do not count as completed outcomes.

### Review and record existing permission for an AI campaign

In the AI campaign details, open Recorded permission for email marketing or WhatsApp marketing. Review the selected audience's counts. If you already hold valid proof for every selected contact, record its actual capture time, source and reference; otherwise prepare a narrower audience. Saving a proof record does not itself authorize a send.

**Where to go:** AI Employee → Campaigns & revenue → campaign details → Recorded permission

**Guide:** https://aroundu.in/help/record-ai-campaign-marketing-permission

#### Before you start

- Active AI Employee access to record permission, plus customer editing and campaign-management permissions.
- Actual existing proof covering the saved selected contacts, club and channel.
- The saved campaign/permission counts must be current before authorization.

#### Steps

1. Open the prepared AI campaign and inspect Recorded permission for the selected channel.
2. Use Refresh permission counts and check how many eligible selected contacts have recorded permission and how many are missing.
3. If every selected person is covered by your existing proof, confirm the statement and enter Actual date and time permission was captured, Permission source and Proof reference.
4. Choose Save recorded email permission or Save recorded WhatsApp permission. Wait for the current campaign and counts to refresh.
5. If proof covers only a subset, prepare a narrower audience instead of claiming coverage for everyone.
6. Once all required facts/permission are ready, separately review the message, budget and deadline before Approve campaign plan or Authorize & hand over to Autopilot.
7. To withdraw a recorded permission, open Revoke this audience's recorded permission, review the affected club/channel/audience and use the explicit revoke control.

#### Good to know

- Importing, joining or booking does not establish permission. Polar cannot infer or generate it.
- The proof record concerns the saved campaign audience; a later audience change needs another review.
- Use the actual date from your records. The form does not fill a fictitious date for you.
- Revocation applies to future eligible AI sends; already queued/provider-submitted messages may still be delivered.

#### Troubleshooting

- Permission could not be verified? Refresh before authorizing; a missing response is not permission.
- Save button disabled? Check proof fields, the capture time, plan and customer-edit/campaign-management permissions.
- Permission recorded but campaign refresh failed? Refresh the existing campaign/counts before authorization instead of claiming it saved twice.
- Authorization still disabled? Check audience size, message fields, budget, deadline and any remaining channel/category review requirement.

### Pause AI campaigns and set a shared monthly budget

Open Settings → AI replies & campaign limits → AI campaign budget for this house. Enable Pause all AI campaign sending for this house or Set a monthly AI campaign budget, then Save house campaign limits. This campaign stop is separate from customer reply mode, and cannot recall messages already submitted to WhatsApp.

**Where to go:** Marketing → Settings → AI replies & campaign limits → campaign budget

**Guide:** https://aroundu.in/help/pause-ai-sending-and-control-budget

#### Before you start

- Permission to manage the club's campaign limits.
- Active AI Employee access to resume campaign sending.
- Review both the shared monthly allowance and each campaign/experience's lower limits.

#### Steps

1. Open the campaign budget section and review the displayed month, allocated amount and available monthly allowance.
2. To stop new AI campaign sends, enable Pause all AI campaign sending for this house and Save house campaign limits.
3. To cap allocations, enable Set a monthly AI campaign budget, enter Monthly maximum (₹) and save.
4. Open the affected AI campaign's details and read its latest state. Take over in Review mode is offered for eligible waiting states; Cancel campaign appears only when that saved campaign can be cancelled.
5. If stopping customer auto-replies too, separately open Customer replies and switch the reply mode Off. Pausing campaigns does not change that setting.
6. Before resuming, review the active plan, permission, audience, remaining inventory, current message and original budget/deadline. Resume only the work you still authorize.

#### Good to know

- The full approved campaign budget is allocated before sending. This is a conservative allowance, distinct from confirmed communications charges.
- Failed or uncertain attempts can keep their allocation reserved. Calendar-month allocations reset in India time.
- The club's shared cap covers AI campaigns and automatic experience launches; each saved campaign/experience can have a lower limit.
- Paused work can still have messages already submitted to WhatsApp delivered. Blocked campaigns need review before restarting.
- For automatic experience launches, Pause launch and Stop future batches control that launch rather than all club campaigns.

#### Troubleshooting

- Limits saved but usage did not refresh? Use Refresh limits to view the latest allocation.
- Save failed after a plan/permission change? Refresh and ask an authorized settings manager to review the saved version.
- Cancel campaign is absent? The current campaign state does not offer cancellation. Use the appropriate shared pause and review the recorded send state; do not assume sent messages can be recalled.
- Auto-replies continued after campaign pause? Reply mode has its own switch; inspect it separately.
- Cap seems used despite fewer delivered messages? Allocated budget is not the same as settled delivery charges.

## Bookings & payments

Booking records, payment links, check-in and refunds.

### Manage dated sessions and record offline bookings

Open the experience's calendar, select a dated session, and review its bookings and capacity. Record an offline booking with the customer's details, seats and actual payment amount, then choose Mark as booked.

**Where to go:** Experience admin → calendar; Schedule settings for weekly rules

**Guide:** https://aroundu.in/help/booking-calendar-and-offline-bookings

#### Before you start

- Manage a recurring class, appointment or reservation.
- For an offline booking, use the real payment amount and payment reference, if available.

#### Steps

1. Open the experience's admin calendar and select the relevant date and session.
2. Review Booked, Available and the customers in that session. Held seats reduce the available capacity while a checkout is in progress.
3. To edit that occurrence, change Starts, Ends or Capacity and choose Save changes. Capacity cannot be less than booked and held seats.
4. To change the weekly setup, open Schedule settings, edit the builder and choose Save schedule.
5. For a booking paid offline, open Record an offline booking and choose Add. Enter the customer's name and phone, optional email, booking label, seats, amount collected, payment method and optional payment reference.
6. Choose Mark as booked, then check the session's booking list and capacity.
7. If you changed a confirmed session's time, send a separate announcement so customers know about the change.

#### Good to know

- Recording a payment collected elsewhere does not charge the customer through Cashfree.
- Session time edits update confirmed bookings and future reminders. The page explicitly states that it does not send a new announcement automatically.
- Do not use a generic external attendee import to place someone into a specific appointment time; use the dated session's offline booking control.

#### Troubleshooting

- Save is unavailable: check the start/end time and whether the session has held seats.
- You cannot add an offline booking: check remaining capacity, a valid phone number, a positive whole-number seat count and a nonnegative amount.
- Schedule settings cannot load: retry the page and preserve the current setup until the saved schedule has loaded.

### Connect the host's Google Calendar

Open the experience's calendar and choose Connect Google in Host Google Calendar. Authorize the account, then use Sync now to backfill upcoming confirmed bookings when needed.

**Where to go:** Experience admin → calendar → Host Google Calendar

**Guide:** https://aroundu.in/help/host-google-calendar-sync

#### Before you start

- Manage the experience.
- The Google Calendar integration must be configured and available for the account.
- You must be able to authorize the Google account you want to use.

#### Steps

1. Open the experience's admin calendar and locate Host Google Calendar.
2. Choose Connect Google and complete Google's authorization.
3. Return to AroundU and verify the connected account and calendar displayed.
4. Use Sync now to backfill upcoming confirmed bookings or request a new synchronization.
5. If the connection asks you to reconnect, choose Reconnect Google and authorize again.
6. To stop future synchronization, use the disconnect control and confirm. Existing calendar experiences remain.

#### Good to know

- Recurring classes are represented by their dated class session; appointments and reservations are represented by confirmed bookings.
- Calendar synchronization failure does not cancel a paid booking. Confirm the booking in AroundU even if the Google experience is missing.
- Customers can also use the calendar actions on their confirmed booking or pass; this is separate from the host's connection.

#### Troubleshooting

- The button says Unavailable: the integration is not configured for this account; contact support instead of repeating authorization.
- Authorization was cancelled: select Connect Google again and complete the permissions screen.
- Bookings are missing: confirm they are upcoming and confirmed, then use Sync now. Reconnect if the page reports a revoked or expired connection.

### Find QR tickets and check in attendees

Customers can open My QR or their confirmed booking pass. If your AroundU organizer app offers the experience scanner, use it to check in the correct ticket. On the web, use Attendees to review checked-in guests.

**Where to go:** Customer: My QR or confirmed booking; organizer app: experience scanner; web: experience admin → Attendees

**Guide:** https://aroundu.in/help/qr-tickets-and-attendance

#### Before you start

- The customer must have a confirmed booking or valid pass.
- The scanner account must have authority to operate the experience.
- Camera scanning requires camera permission in the organizer app or a current web browser using HTTPS.

#### Steps

1. Ask the customer to open My QR or their confirmed booking's pass and verify the experience or session date.
2. Open Scan entry QR from the event's web admin dashboard, or open the scanner in the updated AroundU organizer app, and allow camera access.
3. Position the QR in the scanning area, then inspect the returned guest and booking details before admitting them.
4. Select the people arriving now, then confirm entry. For daily passes, check today's people allowance separately from the event-day balance.
5. On the web, open the experience's Attendees page and use the Checked In filter to review attendance. For ongoing experiences, inspect the booking's date as well.
6. If the customer's payment is unresolved or the pass belongs to another session, resolve that booking before allowing entry.

#### Good to know

- Each confirmed recurring occurrence has its own pass. Use the pass for the actual session.
- A reusable check-in balance is separate from a daily rule; consuming the balance is an entry action.
- My QR on the web displays the customer pass. Event admins and assigned volunteers can use the event's web scanner; use Attendees to review the guest list and attendance.
- If a confirmation times out, retry the saved confirmation. The web scanner keeps the original request so a retry does not consume another allowance.

#### Troubleshooting

- The camera is unavailable: choose Try again after allowing access, or use Open camera settings in the app.
- The pass is already fully scanned: verify the remaining seats or uses before retrying. Repeated scanning should not grant additional entry.
- The QR is missing after payment: check the booking/payment confirmation first. Contact support with the booking reference if the payment is confirmed but fulfillment remains pending.
- A multi-session customer presents the wrong QR: have them switch to the booked date's pass.

### Use the external attendee tool in the app

If your organizer app shows Add External Attendees, use Upload Excel or Add Manually. The web dashboard lists Add External Members under Coming on Web.

**Where to go:** AroundU app → experience management → Add External Attendees

**Guide:** https://aroundu.in/help/external-attendees-in-the-app

#### Before you start

- Use an organizer app version that shows Add External Attendees and an account that manages the experience.
- Have each guest's supported mobile number and allocated seats ready.
- Use a dated session's offline booking control for an appointment or recurring session.

#### Steps

1. In the AroundU app, open the experience management tools. If Add External Attendees is available, choose it.
2. Choose Add Manually for a small list. Enter a valid 10-digit mobile and a positive seat allocation, then add it to the list.
3. For a larger list, choose Upload Excel and use the supported spreadsheet flow shown on that screen.
4. Review the entries and total allocated seats before submitting the add/invite action.
5. Review the experience attendee list afterward and check which guests are confirmed. Check the invitation status for people who still need to join.

#### Good to know

- Use this for direct admission when you are deliberately not collecting an online ticket payment through the normal checkout.
- Use Pre-approved Guests when a trusted customer should skip approval but still pay normally.
- For appointments and recurring sessions on the web, record an offline booking in the dated session. Add External Members is listed under Coming on Web.

#### Troubleshooting

- The web button is disabled: Add External Members is listed under Coming on Web. Check whether your organizer app offers Add External Attendees, or contact support for help.
- A manual entry is rejected: check the 10-digit mobile, a positive seat count and duplicate contacts in the current list.
- You need to collect money rather than admit someone directly: use Generate Payment Link or the normal booking checkout.

### Generate and manage experience payment links

Open Generate Payment Link from a paid experience's admin dashboard. Enter the recipient, ticket quantity, offer and expiry, then generate the link; use the dashboard to track payment, expiry and delivery.

**Where to go:** Paid experience admin → Generate Payment Link

**Guide:** https://aroundu.in/help/event-payment-links

#### Before you start

- Manage a paid experience with available tickets or spots.
- The admin shortcut is not shown for past experiences.
- For dated bookings, choose the actual sessions the payment should cover.

#### Steps

1. Open the paid experience's admin dashboard and choose Generate Payment Link.
2. For a single link, enter the recipient details, select the ticket tier when required, and choose the number of tickets or spots.
3. Choose an available offer and expiry. For recurring classes or appointments, select the dated sessions using the session picker.
4. Review the amount and seat allocation, then choose Generate Link. Copy or send the resulting link using the available delivery actions.
5. For a batch, download Sample CSV, fill the supported contact/quantity columns, and import it. Review invalid rows and ticket/default-slot settings before triggering links.
6. If the dashboard offers payment-time analysis, review its recommendations and choose to trigger now or schedule the reviewed batch.
7. Track All Status, Active, Success or Expired in the dashboard. Expand a recipient's history when there are multiple links.
8. Select unpaid active links and cancel them when they should no longer be payable. Cancellation of a pending link is separate from a refund.

#### Good to know

- The visible ticket quantity is what you are selling. A ticket name that mentions a bundle does not replace the entered quantity.
- Payment success and WhatsApp delivery are different facts. A generated link may be valid even if delivery is delayed or unavailable.
- For an already approved private experience request, use its request-link actions rather than creating an unrelated duplicate link.

#### Troubleshooting

- Generate Link asks for a tier: select an available ticket tier for an experience using Ticket Options.
- A batch has invalid rows: use the sample columns, valid mobiles and positive quantities, then correct only rejected rows.
- A customer has duplicate links: inspect their history and cancel obsolete unpaid links after verifying which one they should use.
- A paid link is still pending: refresh the authoritative payment view and contact support with the link and transaction reference if it stays unresolved; do not ask the customer to pay again immediately.

### Share a Quick Checkout link

Open Quick Checkout in the paid experience's admin dashboard, select tickets and quantities, and copy the generated link. The customer sees the selected checkout options and a form-free payment flow.

**Where to go:** Paid experience admin → Quick Checkout

**Guide:** https://aroundu.in/help/quick-checkout-links

#### Before you start

- Manage a paid experience.
- Configure ticket options or flat pricing before opening the tool.

#### Steps

1. Open the paid experience's admin dashboard and choose Quick Checkout.
2. For Ticket Options, select the tickets and quantities to include. For flat pricing, choose the spots quantity.
3. Review the generated link and its selected tickets.
4. Choose Copy Link to copy the generated checkout URL, then share it with the customer.
5. Open the link once to confirm the customer's checkout shows the intended tickets and quantity before sending it widely.

#### Good to know

- Quick Checkout is useful when you deliberately want a payment flow without the full registration form.
- Use Generate Payment Link when you need recipient-specific links, expiry and link history.
- If attendee questions are essential to your process, use the normal checkout or an approval form rather than this form-free link.

#### Troubleshooting

- No link is generated: select at least one ticket and positive quantity.
- The dialog says no tickets are configured: add Ticket Options or use the supported flat-pricing selection.
- Customers do not see the normal questions: the Quick Checkout flow is form-free by design.

### Check experience payments, refunds and settlements

Open Finance Hub and filter the ledger by Successful, Initiated / Incomplete, Failed or All Transactions. Payment status and settlement status are shown separately; Export downloads the currently filtered transaction rows.

**Where to go:** Experience admin → Finance Hub

**Guide:** https://aroundu.in/help/event-finance-and-payment-status

#### Before you start

- Manage the experience and have access to its financial/customer records.
- Have the customer's booking, link or transaction reference ready for a specific payment problem.

#### Steps

1. Open the experience's admin dashboard and choose Finance Hub.
2. Select Successful, Initiated / Incomplete, Failed or All Transactions as appropriate.
3. Search and review the transaction's payment status, amount, settlement status and expected settlement information when available.
4. Use View Plan Analytics to inspect gross revenue, transaction count, average order value and the available sales breakdowns.
5. Use Export to download the currently filtered rows. Review the filters first so the file contains the intended transactions.
6. If Membership pass uses appears, review it separately from paid transactions; a pass use and a Cashfree payment are not the same record.
7. For an unresolved payment, keep the reference and current status and contact support through Help → Contact.

#### Good to know

- Successful payment means the customer payment completed. Settlement describes the transfer to the organizer; it may still be pending.
- An initiated checkout is not proof of captured money or a confirmed booking.
- Gross revenue is not automatically the same as payout: fees, refunds and settlement state matter.

#### Troubleshooting

- A successful payment has no settled label: inspect the expected settlement information; do not mark the customer unpaid solely because settlement is pending.
- The export is empty: clear search and status filters or choose the period that contains the payment.
- The customer says they paid but the booking is unresolved: check the transaction and booking confirmation before generating another payment request.
- A refund has been initiated but is not credited yet: processing follows the original payment method; contact support with the reference if the provider status remains unresolved.

### Cancel an experience or understand attendee refunds

Cancel Plan permanently closes an eligible experience and initiates refunds for paid members. Attendee cancellation depends on Allow Cancellation & Refund and the refund cutoff; cancelling an unpaid link is a separate action.

**Where to go:** Experience admin → Plan Status → Cancel Plan; editor → Pricing & Spots for attendee refund settings

**Guide:** https://aroundu.in/help/cancel-event-and-refunds

#### Before you start

- Manage the experience.
- Review paid bookings and the experience's refund policy before taking a cancellation or removal action.
- The web Cancel Plan action is shown for eligible experiences that are not already past; it is not a standalone-form cancellation tool.

#### Steps

1. To configure attendee refunds, open Pricing & Spots and review Allow Cancellation & Refund before publishing or changing the experience.
2. For standard experience bookings, the refundable attendee-cancellation window closes two calendar days before the experience starts, using India time. Check the booking policy, and state the cutoff date clearly on the experience page.
3. To cancel the whole experience, open Plan Status in the admin dashboard and choose Cancel Plan.
4. Read the confirmation carefully, enter the experience title as requested, and confirm only when you intend to cancel permanently.
5. Review the resulting status and the Finance Hub. Paid-member refunds are initiated and cancellation notifications are attempted; bank credit is not necessarily immediate.
6. To remove particular members, use Remove Members in the admin tools and review its warning. If refunds are enabled, removal can trigger the automatic refund flow.
7. To stop an unpaid request or manual payment link, cancel that link in its own dashboard; do not cancel the entire experience.

#### Good to know

- Experience cancellation and member removal have consequences that cannot simply be undone from the confirmation screen.
- A notification being queued is different from guaranteed delivery to every customer. Follow up with your communication tools when needed.
- Refund credit depends on the original payment method. Use Finance Hub to check the refund and contact support with the transaction reference if it remains unresolved.
- State the refund cutoff as a date with the relevant time zone so customers can understand it. Contact support if the policy shown on the booking conflicts with that cutoff.

#### Troubleshooting

- The Cancel Plan action is absent: confirm you manage the experience and that it is an eligible non-past experience.
- A guest cannot obtain a cancellation refund: check Allow Cancellation & Refund and the cutoff on the booking. The standard cutoff is two calendar days before the experience starts; some bookings may not permit attendee refunds.
- The experience is cancelled but a refund needs attention: use the transaction reference and Finance Hub to contact support.
- You meant to stop one link: cancel the unpaid link instead. Cancelling the experience affects all its members.

### Create an entry or discount membership package

Open Membership passes in club admin. In New package, choose Free entry per use or Percentage off per use, set the package price, uses and valid days, choose the covered experiences, and save the draft.

**Where to go:** Club admin → Membership passes → New package

**Guide:** https://aroundu.in/help/create-membership-pass-package

#### Before you start

- Club admin access to Membership passes.
- Decide whether the benefit is entry or a percentage discount, and which experiences qualify.
- Membership passes are customer benefits; they are separate from the organizer's AroundU software subscription.

#### Steps

1. Open Membership passes in the club admin workspace and find New package.
2. Set Pass benefit to Free entry per use or Percentage off per use. For a discount package, set Discount (%) from 1 to 99.
3. Enter Package name and Price (₹), then choose Entries or Discount uses and Valid for (days). Uses range from 1 to 1,000 and validity from 1 to 365 days.
4. Choose Public purchase if customers should buy it from the pass page, or Invite only, issued by admin if you will issue it to individual accounts.
5. Add a Description and complete Questions about this pass if customers need explanations. You can add up to eight questions; complete both question and answer.
6. Under Eligible plans, select eligible upcoming single-date experiences with simple pricing, or choose All eligible public events during each holder's pass period, including future events.
7. Choose Save draft. Review the package before publishing or issuing it.

#### Good to know

- An entry pass covers one seat per use and produces the experience's normal QR after booking; it is not one QR for every covered visit.
- All eligible public events covers qualifying future public experiences dynamically. It excludes private, pre-approval, recurring and tiered-ticket experiences.
- Selected coverage can include the supported private experiences for an invite-only entry pass. Discount passes require eligible paid public experiences.
- Keep package questions specific about coverage, exclusions and changes rather than promising every experience is included.

#### Troubleshooting

- Save is rejected: check name, price, use count, valid days, discount range and complete question/answer pairs.
- An experience is not selectable: check whether it has a single upcoming date and simple pricing and whether its visibility matches the pass benefit.
- The list reaches its limit: selected coverage supports up to 200 listed experiences; it does not silently include experiences outside that list.
- A package has no eligible experiences: select at least one or use the supported all-public coverage before publishing.

### Publish membership packages and manage sales or availability

After saving a package, choose Publish in Membership passes. Public purchase packages need a positive price and eligible coverage; use Unpublish to stop new sales, and View holders & attendance to inspect issued passes and use history.

**Where to go:** Club admin → Membership passes → Packages

**Guide:** https://aroundu.in/help/publish-and-sell-membership-passes

#### Before you start

- Manage the club's membership packages.
- For public sales, have a positive package price and valid experience coverage.

#### Steps

1. Open Membership passes and review the saved package under Packages.
2. Check its benefit, price, uses, valid days, visibility and covered experiences, then choose Publish.
3. In Public pass page, set the headline and introduction and choose Save page copy.
4. Open the club's public Membership passes page and verify that the published public package shows the correct price and coverage.
5. Customers can browse, sign in when buying, choose the package and complete the Cashfree checkout. Ask them to check their pass wallet after verified purchase.
6. Use Recent sales to inspect purchases and View holders & attendance on a package to review balances, booked experiences and check-in evidence.
7. Use Edit to adjust the package for future issuance. Use Unpublish to stop new public purchases or Archive when the package should be retired permanently.

#### Good to know

- Published invite-only packages stay hidden from the public shop; issue them from the admin package instead.
- Changes to a selected experience list affect newly issued passes. Existing issued passes retain their purchased coverage, and confirmed bookings keep their QR.
- Archived packages cannot be republished. Use Unpublish when you need a reversible pause in public availability.

#### Troubleshooting

- Publish is disabled: select eligible experiences or the supported all-public scope, and give a public-purchase package a positive price.
- The package is missing from the shop: check Published status and Public purchase visibility.
- A customer has paid but has no active pass: review Recent sales and the purchase result; contact support with the purchase reference before asking them to pay again.
- An edited package did not change an existing holder's coverage: their already issued pass keeps its original selected coverage.

### Issue an invite-only pass to a customer account

Publish a package marked Invite only, issued by admin, then choose Issue private pass. Enter the verified recipient's existing account ID and choose Issue pass. Validity starts immediately.

**Where to go:** Club admin → Membership passes → package → Issue private pass

**Guide:** https://aroundu.in/help/issue-invite-only-membership-pass

#### Before you start

- Club admin permission to manage and issue the package.
- A published package marked Invite only, issued by admin.
- A verified existing AroundU customer account and its correct account ID.

#### Steps

1. Open Membership passes and review the package's benefit, uses, validity and selected coverage.
2. Choose Invite only, issued by admin if it should not be sold publicly. Save the package and Publish it.
3. On the published package card, choose Issue private pass.
4. Enter the verified Recipient account ID. Check the customer's account carefully before issuing; a mobile number or email is not what this field asks for.
5. Choose Issue pass. The pass becomes active immediately and its validity starts now.
6. Choose View holders & attendance to verify the issued pass, then ask the customer to sign in with that account and open My passes.

#### Good to know

- This issuance does not start a public purchase checkout or collect an online package payment.
- For supported selected private experiences, an invite-only entry pass can admit its verified holder directly, subject to capacity.
- A private membership pass has covered experiences and a use balance. A pre-approved contact only bypasses manual approval and still follows the ordinary payment flow.

#### Troubleshooting

- Issue private pass is absent: check that the package is published and marked Invite only, issued by admin.
- Issuance fails: check the existing account ID and the account's verification before retrying.
- The customer cannot see the pass: ask them to sign into the exact account it was issued to, then check the admin holder list.
- The customer needs a future validity start: this issue action starts validity immediately; contact support before using it for a different arrangement.

### Book an experience using an entry or discount pass

Sign in with the pass-holder account and open an eligible experience. Choose the pass under Use a membership pass for a one-seat entry booking, or Membership discount for a paid discounted booking. Each confirmed experience has its own QR.

**Where to go:** Customer → My passes → eligible experience → checkout

**Guide:** https://aroundu.in/help/use-a-membership-pass-for-entry-or-discount

#### Before you start

- Sign in with the account that owns the pass.
- The pass must be active, unexpired and have remaining uses.
- The experience must be covered, fall within the pass period and have available capacity.

#### Steps

1. Open My passes and review the package benefit, validity, remaining uses and eligible experiences.
2. Open an eligible experience and proceed to its checkout while signed in with the pass-holder account.
3. For an entry pass, find Use a membership pass, choose the pass and select one seat. Choose Use 1 entry · Join for ₹0 and complete the booking requirements.
4. For a discount pass, find Membership discount and choose the pass. Review the displayed discount, amount due and any convenience fee, then complete the paid checkout.
5. After confirmation, open the experience's own QR and show that pass at entry. The package itself is not one reusable QR for every experience.
6. Return to the wallet to review the updated balance and confirmed experiences. Organizers can inspect the same use in Membership passes or the experience Finance Hub.

#### Good to know

- One pass use covers one seat. The entry-pass action is a one-seat booking.
- Membership discount does not combine with other offers. Selecting a discount pass replaces the ordinary offer selection for that checkout.
- A use held for an unpaid booking can reduce the displayed available balance before the payment finishes.
- A club-wide public pass covers only qualifying public experiences, including future eligible experiences, rather than every activity the club creates.

#### Troubleshooting

- The pass is not offered: check account ownership, remaining uses, expiry, club, experience coverage, date and supported pricing type.
- A private experience is not eligible: direct admission requires that private experience to be covered by the supported invite-only entry pass.
- The balance is lower after an incomplete checkout: inspect the pending booking; contact support if a held use does not resolve.
- A discount still leaves money due: the pass gives a percentage reduction, and the final quote can include applicable fees.

## Plans, billing & team

What is included, subscriptions and team permissions.

### Invite teammates and control access with roles

Open the club's Team page and choose Invite teammate. Standard administrator invitations give broad club access. AI Employee adds Team & roles, Roles & permissions and Security activity so you can grant individual customer, campaign, finance and settings permissions.

**Where to go:** Club admin → Team / Team & roles

**Guide:** https://aroundu.in/help/manage-team-roles-and-permissions

#### Before you start

- Owner or permitted team-management access.
- AI Employee for custom roles and permission-controlled team access.
- A teammate's email invitation and acceptance.

#### Steps

1. Open Team or Team & roles for the correct club. Review active members and pending invitations.
2. Choose Invite teammate, enter the teammate's invitation details and choose the available role. Review whether it gives administrator-wide access or restricted permissions.
3. On AI Employee, open Roles & permissions to create or edit a custom role. Select only the customer, campaign, inbox, experience, website, finance, billing and settings actions that person needs.
4. Save the role/invitation. The teammate receives access after accepting the email invitation.
5. Review Members and pending invitations after acceptance; change or remove access through the permitted controls when responsibilities change.
6. On AI Employee, open Security activity to inspect the recorded account actions and export/deletion protections.

#### Good to know

- Customer view, edit, import, export and delete are independent permissions. Viewing does not automatically permit a download.
- Campaign management and campaign sending are separate permissions; similarly, an inbox role can have a different set of actions from a website editor.
- An administrator invite is broad access to club/customer/settings/payment surfaces. Use it only for trusted administrators.
- The club's subscription determines available features; the teammate's role determines permitted actions within them.
- The AroundU internal staff portal has separate access. It does not automatically grant a role in a customer club.

#### Troubleshooting

- Roles & permissions missing? Check active AI Employee plan access; the basic Team screen remains an administrator-invite flow.
- An action is unavailable despite the paid plan? Ask the owner to check the corresponding permission.
- Invite still pending? Check the recipient email and the pending invitation state; do not assume sending an invite activated membership.
- Cannot manage billing or a website-enquiry/admin-only surface? Some current surfaces require full club-admin access even when another role has a related permission.
- A role change no longer matches what a teammate sees? Refresh access and reopen the relevant workspace.

### Choose a plan and check what your club can use

Links provides free-to-start booking links; Plus adds a branded website; Pro adds CRM and manual marketing; AI Employee adds preparation, supported replies and permitted automation. Open pricing for the current comparison, then check the plan and billing details in your club's Storefront page before paying.

**Where to go:** Pricing; club admin → Storefront → plans

**Guide:** https://aroundu.in/help/plan-inclusions

#### Before you start

- Use the current Pricing comparison rather than an old quote or promotional screenshot.
- Sign in as the owner or an eligible administrator of the correct club for subscription checkout.
- Review the exact plan, duration, base price, GST and usage charges before payment.

#### Steps

1. Open Pricing and compare the current plan cards and full feature table. Identify whether you need a website, manual CRM/marketing or AI Employee preparation/actions.
2. Sign in and open the correct club's Storefront page. Select the intended plan and available billing period.
3. Review the checkout's plan name, duration, total including GST and any upgrade quote or custom offer terms. A Pro offer activates Pro, regardless of the sales conversation that preceded it.
4. Read and accept the applicable subscription terms, then complete the supported payment flow.
5. Return to the club subscription screen and verify the resulting active plan and access period. A checkout redirect alone is not proof that access activated.
6. After activation, complete the product setup: website/domain, connected WhatsApp number, approved templates, knowledge and explicit automation rules as needed.
7. If access has expired, or an ongoing paid plan or automatic renewal conflicts with a custom offer, follow the displayed renewal or support instructions before starting another checkout.

#### Good to know

- AI Employee can prepare email/WhatsApp campaigns, answer eligible customer questions and run configured follow-ups without Meta ads.
- Pro already includes CRM, imports, manual marketing, factual Polar questions and zero AroundU commission. The AI upgrade is for preparation/actions and custom permissions, not another commission reduction.
- Provider communications, Meta ad spend and payment-gateway charges are separate from subscription pricing.
- The public trial applies to eligible Plus/Pro access; AI Employee is excluded.
- Purchase does not enable automatic replies or campaign sending. Those are explicit setup/authorization steps.
- End-to-end abandoned-booking recovery and a standalone autonomous past-customer reactivation loop are not promised by the current AI Employee launch package.

#### Troubleshooting

- Custom offer will not open? Sign in as the club owner or a full-access administrator. AroundU staff access is separate.
- Offer says Pro when you intended AI Employee? Do not pay it as an AI purchase. Ask for a correctly specified offer.
- AI Employee checkout unavailable? Ask AroundU support to confirm availability before starting another payment.
- Payment completed but access is not active? Refresh its status and provide the actual payment/offer reference to support; avoid paying again without review.
- An AI control is unavailable after purchase? Check your active plan, team permission and the connection or setup needed by that feature.
- Plan expired? Follow the renewal guidance shown in your club. Saved automation rules do not keep paid sending access active.

### Buy, renew or pay a custom club subscription offer

Open the club billing/storefront page to compare plans and pay through Cashfree. A custom offer activates the named plan for the prepaid duration shown. Check that the offer names AI Employee if that is the plan you intend to buy.

**Where to go:** Club admin → billing/storefront; custom offer: the payment link supplied by AroundU staff

**Guide:** https://aroundu.in/help/house-subscriptions-and-custom-offers

#### Before you start

- Sign in with the organizer account that manages the intended club.
- Review the plan name, duration, base amount, GST, total payable and subscription terms.
- Custom prepaid offers support eligible new, trial or expired subscriptions. An active automatic-renewal mandate or conflicting paid period can block checkout.

#### Steps

1. Open the club's billing/storefront page and check the current plan, status and access end date.
2. Compare the available plans and select the plan and billing cycle you intend to buy. Review the current prices and included tools shown on the page.
3. Review Amount to pay now, including GST, any validated coupon or upgrade quote, then accept the current subscription terms.
4. Choose the Cashfree payment button and complete the payment. Return to AroundU and verify that the plan and access period have updated.
5. For a negotiated subscription offer, open the supplied offer link and sign in with the club owner's account or a full Administrator account for that club. Check the displayed tier, prepaid months, expiry, base/GST/total and terms before paying.
6. If the goal is AI Employee but the offer says Pro or Plus, ask AroundU to issue an offer for AI Employee before paying. Custom prices do not change the named plan.
7. If Automatic renewal is available and you want it, review the recurring charge and mandate limit, accept the terms and complete Cashfree authorization. To stop future renewal, use Cancel automatic renewal or Cancel mandate.
8. Authorized AroundU staff create a custom offer from Admin → Subscriptions & payment links → Create payment link: select the club and exact plan, enter whole months, agreed base price, future expiry within 90 days and an internal note, then review and copy the offer link.

#### Good to know

- Custom offers are prepaid with manual renewal. Their expiry is the last time they can be paid; it is separate from the subscription access end date after activation.
- A mandate's authorized maximum is a limit, not the regular recurring debit. Cancelling renewal does not mean a refund of the paid period.
- The trial option, when shown, covers the eligible Plus/Pro trial and explicitly excludes AI Employee. Do not assume buying a trial or lower tier includes AI Employee.

#### Troubleshooting

- The offer cannot be viewed: sign in with the club owner's account or a full Administrator account for that club. A restricted teammate account or AroundU staff access alone cannot view or pay the offer.
- The offer is expired or revoked: request a new offer; do not pay an old link.
- Payment received or activation pending is shown: wait and refresh; the page says there is no need to pay again.
- Payment needs review is shown: contact support with the offer ID before attempting another payment.
- Checkout is blocked by a mandate or existing paid period: use the supported renewal/upgrade flow or cancel the conflicting renewal setup before requesting a custom prepaid offer.
- A staff offer defaults to Pro: explicitly choose the intended tier during creation. The default is not a recommendation or an automatic AI upgrade.

### AroundU staff: create a custom subscription payment offer

AroundU staff only: open Subscriptions & payment links and choose Create payment link. Select the club, explicitly choose the plan, enter the total base price for the whole access period, and review GST and the organizer's total before creating the offer.

**Where to go:** AroundU staff admin → Subscriptions & payment links → Create payment link

**Guide:** https://aroundu.in/help/staff-create-custom-subscription-offer

**Audience:** AroundU staff only.

#### Before you start

- AroundU staff access with permission to create subscription offers. Club organizers do not create these staff offers.
- An agreed plan, positive price, whole number of months and reason for the offer.
- The club must have an eligible new, trial or expired subscription. An active paid term or renewal mandate must be resolved first.

#### Steps

1. Open the staff admin's Subscriptions & payment links page and select Create payment link.
2. In Select a house, search by club name, domain or ID, choose Find, and select the correct result. Check the selected club before continuing.
3. Set Plan explicitly to Plus, Pro or AI Employee. The form starts with Pro; select AI Employee if that is what the organizer is buying.
4. Enter Access duration (months) as a positive whole number. Enter Total base price (₹) for the entire period, with at most two decimal places. Do not enter a monthly price unless the duration is one month.
5. Review Base price, GST · 18% and Organizer pays. For example, ₹4,500 base for three months produces ₹810 GST and ₹5,310 payable for all three months.
6. Choose Offer expires (India time), using a future date within 90 days. Add the required Internal note explaining the agreement.
7. Choose the Create payment link button with the reviewed amount. In the result, check the club, plan, months, total and expiry, then choose Copy payment link.
8. Tell the organizer to open the offer and sign in with the club owner's account or a full Administrator account for that club. They must accept the subscription terms and pay through Cashfree. Verify payment and access status afterward; sharing the link alone does not activate the plan.

#### Good to know

- An offer's expiry is its payment deadline. Access starts after verified payment and has a separate access end date.
- The named plan is what gets activated. A custom Pro price never becomes AI Employee automatically.
- The organizer sees the offer details but not the staff's internal note.
- These offers are prepaid with manual renewal. There is no edit or revoke control on the current staff offer screen; ask the responsible team to resolve an incorrect offer before inviting payment.

#### Troubleshooting

- Create payment link is absent: the staff account lacks the required offer-creation permission.
- Creation reports an existing paid period or mandate: use the supported renewal/upgrade process or resolve the conflicting renewal setup first.
- The organizer cannot view it: check the selected club and ask them to use its owner or full Administrator account. A restricted teammate account or AroundU staff access alone cannot view or pay the offer.
- Payment received or activation pending appears: wait and refresh rather than requesting a second payment.
- An offer has the wrong plan or price: do not send it for payment. Request a correct replacement and stop sharing the incorrect link.

### Apply a club subscription coupon or access code

On the club billing page, choose Have an access code? → Enter code, enter the issued code and choose Apply code. A subscription coupon changes the plan, duration and payable total before payment; an eligible access offer can activate the access shown without that purchase.

**Where to go:** Club admin → billing/storefront → Have an access code? → Enter code

**Guide:** https://aroundu.in/help/redeem-subscription-coupon-or-referral

#### Before you start

- Sign in with an account managing the club.
- Use a code issued for club subscription access or pricing; attendee ticket coupon codes belong in the experience checkout.
- Review the plan and access duration the code offers before applying or paying.

#### Steps

1. Open the club billing/storefront page and choose Have an access code? followed by Enter code.
2. Enter the private code you were given and choose Apply code.
3. If a coupon is applied, review the displayed plan, discount, number of months and Amount to pay now. Applying the coupon does not by itself complete the paid subscription.
4. Accept the subscription terms and use the displayed Cashfree payment button to finish the discounted purchase.
5. If the page reports that the access code activated access, check the current plan and access end date instead of starting an unrelated payment.
6. Use Remove coupon if you want to return to the normal purchase before paying. Changing the selected plan or billing cycle can remove the coupon from the quote.
7. If you need a new negotiated price or plan, contact AroundU. The current staff subscription screen creates priced offers; it does not provide a subscription-coupon creation form.

#### Good to know

- A subscription code, an attendee coupon and a custom subscription-offer link are three different tools.
- A discounted coupon can select the eligible plan and monthly prepaid duration. Check the updated selection rather than assuming it retains your previous choices.
- An access code should be shared and used according to the offer you received; do not assume every code is a free trial or covers AI Employee.

#### Troubleshooting

- The code is rejected: check the exact code and which club or offer it was issued for, then contact its issuer.
- A coupon appears but access is not active: complete and verify the associated payment.
- The discount disappeared: check whether you changed the plan or billing cycle and apply the intended code again before reviewing the quote.
- You want to create subscription coupons in Admin: there is no current coupon-creation screen in Subscriptions & payment links. Use an authorized custom priced offer or ask AroundU for an issued code.

### Track organizer sales leads and team follow-ups

AroundU staff use Admin → Sales tracker to add or edit a sales entry, select the assigned employee, record its stage and expected value, and set the next follow-up in India time. This is an internal sales pipeline, separate from an organizer's customer enquiries and Inbox.

**Where to go:** AroundU Admin → Sales tracker

**Guide:** https://aroundu.in/help/staff-sales-tracker-and-follow-ups

**Audience:** AroundU staff only.

#### Before you start

- An AroundU staff account with permission to view and create or edit sales entries.
- An available assigned employee from the staff list.

#### Steps

1. Open AroundU Admin → Sales tracker and search the sale, brand, employee or notes before creating a duplicate entry.
2. Choose Add sales entry and enter a Sale title. Add the Brand name if it helps identify the opportunity.
3. Use Find an existing house where available to link the correct club, or enter its known Linked house ID.
4. Select the Assigned employee and Stage. Use lead, contacted, qualified, proposal, won or lost to describe the current state.
5. Add Expected value if known; leave it blank if the deal has not been quoted.
6. Set Next follow-up (India time), write useful Notes and choose Add sales entry or Save changes.
7. Use the Sales stage, Sales employee and Sales archive status filters to find work that needs attention. Entries can show Follow-up due.
8. When an opportunity no longer belongs in the active pipeline, use Archive entry and review Confirm archive. Its history remains available.

#### Good to know

- A follow-up date records team work; it does not send a customer message or create a campaign.
- The tracker shows who added and last edited an entry.
- An experience booking, a club enquiry and an AroundU sales opportunity belong in different workspaces.

#### Troubleshooting

- If another staff member changed the entry, read the conflict message and use Reload current entry before saving again. Reloading replaces the current draft.
- If employee choices are unavailable, use Retry rather than assigning an unknown account.
- Archived sales entries are read-only. Use the archive filter to find their history.
- If the workspace is denied, ask the internal admin owner to check your staff access; club ownership alone does not grant internal staff access.
